Otter.ai Alternatives in 2026: Matched to the Limit You Hit

The short answer

Otter suits teams that want live transcripts, phone and desktop apps, and CRM syncing on one paid plan. If the free plan's 30-minute cap is the problem, try Fathom. If you want no bot and no model training, Jamie. If you want transcription on your own Mac, MacWhisper. For follow-ups in Gmail, Merlin.

We make Merlin, one of the tools on this page. Every claim about other tools is checked against their own sites.

The Merlin team10 min read

The best Otter.ai alternative depends on which Otter limit you ran into. Fathom's free plan lists unlimited recordings and transcripts. Jamie records without a bot, keeps data in Europe and says it never trains on it. MacWhisper transcribes files on your Mac for a one-time fee. Merlin, which we build, turns calls into follow-ups.

The search usually starts the day something goes wrong: a client call that stopped transcribing at the half-hour mark, a colleague asking why a notetaker turned up in a meeting you weren't at, or a security review that asked what happens to the recordings. This page covers what Otter does well, the documented reasons people move on, a few fixes worth trying inside Otter first, and four alternatives, each picked for one of those reasons.

What Otter.ai is good at

Otter.ai is a meeting transcription and notes service with apps on the web, iPhone, Android, Mac and Windows. Its notetaker joins Zoom, Microsoft Teams and Google Meet, writes a live transcript with speaker labels, then produces a summary you can chat with, according to Otter's pricing page. The same page lists transcription in English, Spanish, French, German, Japanese and Chinese.

  • Live transcripts you can follow during the call, useful for interviews, lectures and anyone who reads faster than they listen.
  • Recording without a bot, if you install the desktop app. Otter's desktop app page says it records "without a bot" across Slack huddles, Zoom, Google Meet and in-person conversations, on Mac and Windows.
  • Sales and team plumbing. Pro adds Salesforce, HubSpot and Zapier, and Business adds bulk export, usage analytics and synced notes to a CRM, per the pricing page. Enterprise adds SSO, an API and webhooks, and a HIPAA add-on.
  • Long meetings on Business, with up to 4 hours per meeting and unlimited meeting transcription.

If your team runs on Windows and phones as much as Macs, needs CRM sync and is happy on a paid plan, Otter is the better fit than most of what follows, Merlin included.

What Otter costs in 2026

Basic also keeps only your 25 most recent conversations visible, allows three file imports for the life of the account, and exports MP3 and TXT only. Pro unlocks unlimited history and PDF, DOCX and SRT exports.

Why people look for an Otter alternative

The reasons cluster around four things, and they call for different tools.

The free plan cuts long meetings short

Otter Basic stops at 30 minutes per conversation even if you have minutes left that month, so an hour-long call loses its second half. Pro raises the ceiling to 90 minutes, and only Business and Enterprise reach 4 hours. For someone with a few long calls a week, the real price of Otter is the Business plan.

The notetaker shows up, sometimes uninvited

Otter's notetaker joins Zoom, Teams and Google Meet calls as a participant, and Otter's own Chrome extension listing says it can join all future meetings once your calendar is connected. Some people would rather not have a visible bot in a client call, and some organizations block outside bots. A proposed class action filed in August 2025 in federal court in California, Brewer v. Otter.ai, alleges the notetaker recorded people who never agreed to it and that recordings were used to improve Otter's speech recognition. Fisher Phillips' summary of the case notes these are a plaintiff's allegations and no court has made findings.

Recordings are used to train Otter's AI

Otter's privacy policy (effective June 16, 2026) lists "training our proprietary AI technology on de-identified audio recordings and on transcriptions" among the ways it uses data. For client or regulated work, that line alone sends some teams elsewhere.

Languages and files

Six transcription languages covers many teams but not all of them. And if your work is mostly recordings you already have, three lifetime imports on Basic run out fast.

Try these Otter fixes before you switch

Some of those problems can be solved without leaving Otter, so check these first:

  1. Install the desktop app if the bot is the issue. It records from your computer without a participant joining the call, per Otter's desktop page.
  2. Stop automatic joining in Otter's settings, so the notetaker only joins calls you choose. If you've stopped using Otter, disconnect your calendar from it as well, in both Otter and your Google or Microsoft account's list of connected apps.
  3. Do the upgrade math. If you mostly need longer meetings, Pro at $8.33 a month billed annually may cost less than moving your whole team and its history somewhere new.

If upgrading doesn't fit, or the issue is data training, languages or where your files live, keep reading.

Otter.ai alternatives, by the reason you're leaving

Fathom: no cap on free recordings

Fathom is the direct answer to Otter's 30-minute wall. Fathom's pricing page lists unlimited recordings and transcriptions on the free plan, with instant AI summaries, clips and search across your calls. You choose between a bot or bot-free capture, which Fathom labels a beta for Mac. It works with Zoom, Google Meet and Microsoft Teams and, per its help center, transcribes 38 languages.

Paid plans start with Premium at $16 a user each month on annual billing ($20 month to month). Team costs $15 and Business $25 a user each month on annual billing, both with a two-user minimum. On data, Fathom says all its data is stored in the United States and that it uses de-identified customer data to improve its own models, with an opt-out in My Settings. So Fathom fixes the cap, but not the training question unless you switch the setting off.

Pick Fathom if Otter's free plan was fine apart from cutting off your longer calls.

Jamie: no bot, no training, data kept in Europe

Jamie is built around the privacy objections. Its homepage says it "runs directly on your device and does not require a meeting bot," works with any online meeting platform and in person, keeps storage and processing within the EEA, Switzerland and the UK, and never uses your data to train models. It also says audio is streamed and never stored.

Jamie's pricing page gives the free tier 10 AI notes a month and a 30-minute meeting limit, so it doesn't fix the free cap. Paid plans are priced in euros: Pro is €39 a month billed annually with unlimited notes and meetings up to 5 hours, and Team is €33 per seat a month billed annually. The page lists notes and transcripts in 99+ languages.

Pick Jamie if a client, your legal team or GDPR is why you're leaving Otter, or your meetings run in languages Otter doesn't list.

MacWhisper: transcription that stays on your Mac

MacWhisper is a different kind of tool: a Mac app for transcribing audio and video files, dictating and recording meetings. Its site says local models let you "process sensitive content locally without data ever leaving your Mac," lists more than 100 languages, and records Zoom, Teams, Webex and other apps with no bot. You can also plug in cloud AI providers with your own keys, so whether anything leaves the Mac depends on the model you pick.

There's a free version and a Pro license for €64, a one-time purchase with lifetime updates. MacWhisper's own help article says automatic meeting recording is in beta, warns of occasional data loss, and recommends recording critical meetings manually.

Pick MacWhisper if you mostly transcribe files you already have, you work solo, and you'd rather pay once than every month.

Merlin: when the problem is what happens after the call

Merlin is our product, so weigh this section accordingly. It's a Mac assistant, not a dedicated transcription service. It records calls from your Mac using your microphone and, when macOS allows it, system audio, so nothing joins the meeting. It can notice a call starting in an app like Zoom, or offer to start recording a minute before a scheduled call that has other attendees.

On a paid plan, Merlin transcribes with speaker labels, detects the spoken language, and writes notes with templates such as Sales call, 1:1 and Standup. Since Merlin also sees your email in Gmail and your Google calendar, you can ask it what was agreed across all your meetings, get the to-dos from a call (what you promised and what others promised you), and receive a brief shortly before each calendar meeting. Ask it to write the follow-up and it drafts the email, and nothing is sent until you've edited and okayed it.

The limits are real. Merlin is Mac-only (there's no Windows, phone or web version) and works with Google accounts, not Outlook. Recording is free, but transcripts come only with a paid plan, from Pro at $29 a month or $278 a year, per Merlin's pricing. The recording is kept only on the Mac that made it (on paid plans the audio is also sent off to be transcribed), so playback needs that Mac, and there's no export or share button beyond Copy transcript.

Pick Merlin if you take your calls on a Mac, live in Gmail, and the transcript was never the hard part: the follow-ups were.

How to choose

  • You need hour-long calls transcribed for free: Fathom.
  • A client or regulator asked where recordings go: Jamie, or MacWhisper with a local model.
  • You have a folder of interviews or lectures to transcribe: MacWhisper. Our guide to free transcription software covers more file-first tools.
  • Your team is on Windows, needs a CRM sync or a shared archive: stay on Otter and upgrade, or try Fathom's Team plan.
  • Your calls happen on a MacBook and follow-up emails keep slipping: Merlin.

Moving your meetings out of Otter

  1. Export what you want to keep first. Basic exports MP3 and TXT; Pro and up add PDF, DOCX and SRT, and Business adds bulk export, per Otter's pricing page. On Basic, only your 25 most recent conversations are visible.
  2. Run both tools for a week on the same kinds of calls before cancelling, so you can compare notes on real meetings.
  3. Turn off Otter's auto-join and disconnect your calendar, so its notetaker stops joining meetings after you've moved on.
  4. Tell people about the new setup. A botless tool is invisible in the call, so say at the start that you're recording.

Recaps that turn into sent emails

Merlin records your calls on your Mac with nothing joining the meeting. Paid plans add the notes, a list of who owes what, and a drafted follow-up email, which waits for your OK before it goes out.

Frequently asked questions

Is there a free Otter alternative without a 30-minute limit?

Yes. Fathom's free plan lists unlimited recordings and transcriptions, and its pricing page doesn't list a per-meeting cap like the 30 minutes on Otter Basic.

Does Otter.ai use my recordings to train its AI?

Otter's privacy policy says it trains its own AI on de-identified audio recordings and transcriptions. Jamie says it never trains on your data, and Fathom lets you opt out in My Settings.

Can Otter record without a bot joining the meeting?

Yes, with the Otter desktop app for Mac or Windows, which records Zoom, Google Meet, Slack huddles and in-person conversations without a bot.

What is the best Otter alternative for Mac?

MacWhisper if you want transcription that can stay on your Mac for a one-time price, and Merlin if you want notes tied to your Gmail and calendar follow-ups. Jamie and Fathom also work on a Mac.

How much does Otter cost per month?

Otter Pro is $16.99 per user billed monthly or $8.33 billed annually, and Business is $30 monthly or $19.99 billed annually, per Otter's pricing page.
