How to Use Gmail in 2026: A Complete Guide for Mac Users

New to Gmail, or stuck on the basics? Set it up on your Mac, then learn labels, filters, search operators, shortcuts and the settings worth changing.

The Merlin team17 min read

To use Gmail on a Mac, sign in at mail.google.com in Safari or Chrome, because Google makes no Mac app. Click Compose to write, archive what you've finished, and use labels, filters and search to find the rest. Then turn on keyboard shortcuts and save Gmail to your Dock so it behaves like an app.

Gmail rewards a small amount of setup. The inbox works the minute you sign in, which is why plenty of people never open its settings and end up, years later, scrolling for an invoice they know exists. This guide runs in the order I'd teach it: getting set up on your Mac, the daily basics, then the tools that keep a busy inbox under control.

How to create a Gmail account

You get a Gmail address by creating a free Google Account, and the whole thing happens in Safari or Chrome. Google's account steps go like this:

  1. Go to the Google Account sign-in page and click Create account.
  2. Choose whether the account is for personal use, a child or a business.
  3. Enter your name, birthday and gender.
  4. Pick a suggested Gmail address or type your own username.
  5. Create a password and confirm it.
  6. Add a phone number if you want one, then click Next to finish.

The phone number is optional, though Google recommends adding a recovery number so you can get back in if you're locked out. Take a minute over the username, since it will be on everything you send. It's no longer permanent: Google now lets some accounts change an @gmail.com address once every 12 months, up to three changes in total, and the old address keeps receiving mail. If the option isn't in your account settings, it isn't available to you yet.

How to open Gmail on a Mac

Gmail on a Mac runs in a browser, in a web app or in a separate mail app, because the Gmail listing on the App Store covers iPhone and iPad only. All of these options reach the same mailbox, so you can try one and move on without losing anything.

Start with the web app. Everything in the rest of this guide happens in Gmail's own interface, and the web app gives you that interface without the tab clutter. I keep work Gmail in the Dock and leave personal mail in a Safari tab, so a client reply never goes out from the wrong address.

Save Gmail to your Dock with Safari

Apple's Safari guide covers the steps:

  1. In Safari, visit mail.google.com.
  2. Click the Share button in the toolbar and choose Add to Dock.
  3. Click Add.

Gmail then appears in the Dock and in Spotlight. If you were signed in to Gmail in Safari, you're usually signed in to the web app as well.

Add Gmail to Apple Mail

Apple Mail is worth it if you want every account in one window. Per Apple's Mail guide, choose Mail > Add Account, enter your Gmail address or pick it from the list, click Continue, and follow the instructions. Expect a Google sign-in page, since Gmail no longer accepts third-party apps that only ask for a username and password. Google also advises against turning on a mail app's junk filter for Gmail, because Gmail has already sorted spam by then. Our comparison of Gmail apps for Mac shows what each app keeps and what it drops.

How to send an email in Gmail

To send an email in Gmail, click Compose at the top left, fill in To, Subject and the message, then click Send or press ⌘ + Enter. A compose window opens over your inbox, so you can keep reading other mail while you write.

  • Copy people in: click Cc or Bcc on the To line, or press ⌘ + Shift + C and ⌘ + Shift + B once shortcuts are on.
  • Attach a file: click the attach icon in the compose window's bottom bar, or drag an image straight in. Personal accounts can attach up to 25 MB; anything bigger becomes a Google Drive link in the message, and files such as .exe are blocked.
  • Add a link: select the words and press ⌘ + K.

My own habit is to attach the file first and fill in the To line last. An unfinished email with no recipient can't go anywhere, however fast my thumb moves.

Schedule an email for later

Gmail can hold a finished email and send it at a date and time you choose. Here's Google's process:

  1. Write your email in the compose window.
  2. Click the down arrow next to Send.
  3. Choose Schedule send, then pick a date and time.

Gmail holds up to 100 scheduled emails at once. To stop one, click Scheduled in the left panel, open the email and click Cancel send; it turns back into a draft. When I finish a team update late on a Sunday, I schedule it for Monday morning. Nobody needs a weekend notification about a project plan.

Take back an email you just sent

Gmail's Undo Send gives you a short window to cancel a message after you click Send, and you can set it to 5, 10, 20 or 30 seconds. Click Undo in the notice at the bottom left to bring the draft back. Choose 30 in See all settings, because the extra wait costs you nothing and the mistake usually occurs to you a beat after you click. Once the window closes, the message is gone, and our guide to fixing a sent email covers what to write next.

Archive, delete or mute: what each one does in Gmail

In Gmail, archive hides an email from your inbox and keeps it, delete sends it to Trash for up to 30 days, and mute keeps a whole thread out of your inbox as new replies arrive. Those three buttons do most of the work of keeping an inbox short, and they're worth getting straight early.

The single keys in that table need keyboard shortcuts turned on, one of the settings covered further down.

Archive should be your default. It takes one key, it doesn't use any more storage than the email already does, and search still finds the message. I delete mainly large files and things I'd rather not keep. Muting is the one almost nobody uses, and it's perfect for a reply-all about the office lunch: when I muted one of those, the thread carried on without me. Muted mail can still reach you if a message is sent only to you, goes to a Google Group you belong to, or adds you to the To or Cc line.

How to use Gmail labels and filters

Gmail labels are tags you add to emails, and filters apply them automatically as mail arrives. A single email can carry several labels, which is the main difference from a folder, and only you can see them; people you email don't receive your labels.

To create a label, click the create option next to Labels in the left sidebar, enter a name and click Create. Tick Nest label under to put it inside another one. To apply it, check the email's box and pick a name from the Labels icon, or press l. Our Gmail labels guide goes further on colors and structure. Keep the list short, since a label you never open is just another chore.

Build a filter that files your receipts

A Gmail filter is a saved search with an action attached. Receipts are the best first filter to build, because they're easy to match and you almost never need them the day they arrive. Mine works like this:

  1. Click the search options icon in the search box at the top of Gmail.
  2. In Has the words, type receipt OR invoice.
  3. Click Search to check that the results look right, and adjust the words if they don't.
  4. Open the search options again and click Create filter.
  5. Choose to skip the inbox and apply a label such as Receipts.
  6. Save it by clicking Create filter a second time.

Check the results in step 3 before saving, because a filter that's too broad quietly hides real mail. A filter can also star, delete or forward what it catches. Google notes that a forwarding filter only affects new messages, so it won't reach back through your archive.

How to search Gmail like an expert

Gmail search accepts operators, short commands you type in the search box to narrow results by sender, date, size or attachment. You can click Show search options for a form with the same fields, but typing is faster once you know a handful. All of these come from Google's list of search operators:

Everything, including Spam and Trash

The power comes from stacking them. When a vendor asked me for a contract I'd signed the year before, I typed the vendor's domain after from:, then has:attachment and filename:pdf, and there it was without any scrolling. One more thing to remember: standard searches skip Spam and Trash, which is why an email can seem to have vanished when it's sitting in Trash. After any search you can click Create filter to turn it into a rule.

The Gmail settings worth changing first

Five Gmail settings make the biggest difference, and all but one live behind the gear icon, in See all settings. Those four take effect when you click Save Changes on that page. Do them in one sitting and you won't need to come back.

  1. Keyboard shortcuts. On the Settings tab, select **Keyboard shortcuts on**. The next section lists the keys.
  2. Undo Send. Set it to 30 seconds, as described above.
  3. Signature. Type one in the **Signature** section. The limit is 10,000 characters, images included, and you can set different defaults for new emails and replies.
  4. Send & Archive. Show the button in replies and every answer you send clears the thread from your inbox in one click. Google documents this one in its Workspace help, so look for it under the same setting name in a personal account.
  5. Inbox type. Click the gear and pick from the **Inbox type** list in the quick menu: Default, Important first, Unread first, Starred first, Priority Inbox or Multiple Inboxes.

For a personal inbox, Default is fine, since its Primary, Social, Promotions and Updates tabs keep the marketing mail out of sight. You can hide any tab you don't want through Customize. For work, I prefer Starred first: anything needing action gets a star, it stays at the top, and the rest can wait. Press s to star. Extra star types are in Settings under Stars, though one is plenty for most inboxes.

Gmail keyboard shortcuts on a Mac

Gmail's single-key shortcuts only work after you turn them on in Settings, and pressing ? in Gmail shows the full list. These come from Google's shortcut page for the Mac. Press them in Gmail's window with nothing being typed, or the letter just lands in your message.

Advanced Gmail features for a busy inbox

Gmail's advanced features let you reuse text, defer email, split the inbox into custom views and work without a connection. None of them needs a paid plan, and you won't need all of them. Pick by the problem you actually have.

Reuse text with templates

Gmail templates save a whole message for reuse, and you can only use them on a computer. Under Advanced in settings, click Enable next to Templates. Then write a message, open More options while composing, and choose Templates > Save draft as template. I keep one for the reply I send to every intro request, and I change the first line each time so it doesn't read like a form. A filter can also send a template as an automatic reply.

Snooze email until you can act on it

Snooze removes an email from your inbox and returns it to the top on the day and hour you choose. Hover over the message and use the snooze icon, or press b. It suits anything you can't act on yet, such as a flight confirmation you'll want the day before you travel. You'll find everything waiting under Snoozed in the left sidebar.

Split your inbox with Multiple Inboxes

Multiple Inboxes adds extra sections to your inbox, each defined by a search. Set Inbox type to Multiple Inboxes, click Customize, and enter search criteria and a name for each section. Try is:starred for one section and a label such as label:waiting for another, and you have a view of what you owe and what others owe you. It can only be set up on a computer.

Clear out newsletters

Manage subscriptions lists your regular senders with a count of recent emails and an Unsubscribe button beside each. Find it under More in the left sidebar. Google says it's still rolling out, so it could be missing from your account. For a single persistent sender, choose **Block** from the **More** menu beside Reply inside one of their emails, which sends their future mail to Spam.

Set an out-of-office reply

Gmail's vacation responder is on the General tab of settings. Select Vacation responder on, then enter the dates, subject and message. It usually replies once per person, and it can be limited to your contacts. Mailing lists and anything landing in spam get no reply.

Use Gmail without a connection

Gmail offline works only in Chrome, in a window that isn't Incognito or Guest. Click the gear, then See all settings > Offline, tick Enable offline mail, choose how many days to sync and click Save changes. If you fly often, this alone is a good reason to keep Chrome on a Mac that otherwise runs Safari.

Run more than one account

You can stay signed in to several Google Accounts by clicking your profile image and choosing Add account, then switch from the same menu. Each account keeps its own settings. Just check which one you're in before sending anything important.

Know what confidential mode really does

Confidential mode sets an expiry date on an email and turns off forwarding, copying, printing and downloading for the recipient. Turn it on with the Toggle confidential mode button in the compose window. It doesn't stop screenshots or photos, so I treat it as a polite barrier for a sensitive document, not as protection against someone determined to keep it.

A change coming in January 2027

Gmail is ending support for third-party accounts on the web. From January 2027 you can't send as a Yahoo or Hotmail address from Gmail on the web, and Gmailify and POP fetching, the two ways Gmail pulls in another provider's mail, stop. If you don't read another provider's mail inside Gmail, none of this affects you. Mail already imported stays put. Google's suggested replacements include your provider's own site or a desktop mail client, which on a Mac can be Apple Mail.

What Gemini can do in Gmail

Google's Gemini assistant is built into Gmail, with thread summaries and drafting help free and the rest tied to paid Google AI plans. Google announced this lineup in January 2026, starting in the US and in English, with more languages and regions to follow, so your account may not show all of it.

Summaries are the one I'd try first. Coming back to a thread with a dozen replies, I read the overview to see whether I'm needed, then read the last message myself before answering. Drafts need more care: read each one as if a colleague wrote it, and fix anything that doesn't sound like you.

How to keep your Gmail account secure

The steps that protect a Gmail account most are turning on 2-Step Verification, adding a passkey and checking your forwarding, and all three take a few minutes on a Mac. Your email address resets the passwords on most of your other accounts, so it deserves more protection than anything else you own online.

  1. Turn on 2-Step Verification. At myaccount.google.com, choose Security & sign-in, then select **Turn on 2-Step Verification** under "How you sign in to Google."
  2. Create a passkey. Visit myaccount.google.com/signinoptions/passkeys and select **Create a passkey**. On a Mac you need macOS Ventura or later and Safari 16 or later, and Google says to turn on iCloud Keychain first.
  3. Check your forwarding. Click the gear, then See all settings > Forwarding and POP/IMAP. Google says an address you don't recognize may mean someone else has had access, so turn it off.

Google warns against creating a passkey on a shared device, so I keep mine on my own laptop and phone only.

Common Gmail problems and how to fix them

Most Gmail problems come down to full storage, a filter moving mail, or a message sitting in Spam or Trash. Work through these before assuming anything is broken. For browser, sign-in and Apple Mail sync trouble, our Gmail on Mac troubleshooting guide goes symptom by symptom.

Gmail says your storage is full

Personal Google Accounts get 15 GB, shared across Gmail, Google Photos and Google Drive. Run out and Gmail stops sending and receiving, with incoming mail returned to the sender, and if you stay over quota for about two years your content may be deleted. Search has:attachment larger:10M, delete the biggest messages you don't need, then empty Trash and Spam, since both count until you do. Storage can take up to 72 hours to update. If you're still short, you can buy more through Google One.

An email has gone missing

Google's checklist for missing mail starts in Spam and Trash, where messages are permanently deleted after 30 days. Then open search options, set the dropdown to Mail & Spam & Trash and search again. Next check Filters and Blocked Addresses for any filter that says Delete it or Skip Inbox. If you also read Gmail in another app, check that too: there's only one copy of each email, so a delete on one device deletes it everywhere.

Real email keeps landing in Spam

Open the message in Spam and use **Report not spam** to send the sender's mail back to your inbox. Check Filters and Blocked Addresses in settings as well, since a blocked sender's mail goes straight to Spam, and so does mail from anyone you've unsubscribed from through Manage subscriptions.

Your first week with Gmail on a Mac

You don't have to set everything up at once. This order gets you the most relief early, and each step takes minutes, not an afternoon.

  1. Day one: save Gmail to your Dock, add your signature and set Undo Send to 30 seconds.
  2. Day two: turn on keyboard shortcuts and clear your inbox with j, k and e. Anything older than a few weeks can simply be archived.
  3. Day three: build one filter, for receipts or for whatever lands most often.
  4. Day four: run through Manage subscriptions if you have it, or unsubscribe from each newsletter as it arrives.
  5. Day five: turn on 2-Step Verification and create a passkey.
  6. After that: add a template the second time you catch yourself typing the same reply.

A shortcut for the replies you owe

On your Mac, Option + Space opens the Merlin app over whatever you're doing, Gmail included. Its Who needs you list shows the people waiting on a reply, plus reminders that are due, and a built-in digest arrives each morning. Tell it to answer someone, and you read the draft and approve it before anything is sent.

Frequently asked questions

Is Gmail free to use?

Yes. A personal Gmail account is free and comes with 15 GB of storage shared with Google Photos and Google Drive. You pay only if you buy more storage through Google One or a paid Google AI plan.

Does Gmail have a Mac app?

No. Google's Gmail app is listed for iPhone and iPad only. On a Mac, open Gmail in Safari or Chrome, save it to your Dock as a Safari web app, or add your account to a mail app such as Apple Mail or Mimestream.

Can you unsend an email in Gmail?

Only for a short time. Undo Send lets you cancel a message for 5, 10, 20 or 30 seconds after you click Send, depending on your setting. Once that window closes, Gmail can't take the message back.

Where do archived emails go in Gmail?

Archived emails stay in your account under All Mail, out of your inbox. Click More > All Mail in the sidebar or search for in:archive. If someone replies, the conversation returns to your inbox.

Can I use Gmail offline on a Mac?

Yes, but only in Google Chrome. Tick Enable offline mail in Gmail's offline settings, choose how many days to sync, and save. It doesn't work in Incognito or Guest windows.

Can I change my Gmail address?

Some accounts can. Look for Change Google Account email under Personal info in your Google Account. You can pick a new @gmail.com address once every 12 months, up to three changes in total, and the old address keeps receiving mail.
