Google Meet Live Captions and Notes in 2026: What Each Plan Gets

Turn on captions, translated captions, Gemini's Take notes for me and transcripts in Google Meet, see which plan each needs and fix a missing button.

Google Meet has live captions for everyone: press c in a call, or hover over Captions and translation and select Turn on captions. Live notes come from Gemini's Take notes for me, which writes a Google Doc with a summary and next steps. Gemini notes need an eligible Workspace plan or Google AI Pro or Ultra; translated captions and transcripts need a paid Workspace plan such as Business Standard.

A call is a bad place to discover which features your account has. The client is talking, the button you expected isn't there, and nobody wants to wait while you dig through menus. This guide goes through each built-in option in Google Meet (captions, translated captions, spoken translation, Gemini notes, Ask Gemini and transcripts), what each one costs you in plan terms, how to switch it on, and what to use when your plan doesn't include it.

Which Google Meet plan includes captions, notes and transcripts

Live captions work on every Google account, free ones included; everything else in Google Meet depends on the plan. Gemini notes and spoken translation come with Business Standard and above or a personal Google AI Pro or Ultra plan, while transcripts and translated captions are Workspace features.

The sources for each row: Google's caption announcement says captions are available to every Workspace customer and personal account; the translated captions page lists Business Standard, Business Plus, Enterprise Standard, Enterprise Plus and Google AI Pro for Education; Google's Take notes for me launch post from June 29, 2026 added Google AI Pro and Ultra subscribers; and the transcripts page lists the Workspace editions, including Workspace Individual. Google's Workspace pricing page shows Business Starter without Gemini in Meet.

Two details decide more than the plan name. For Gemini notes, Google's help page says the meeting organizer needs the eligible edition, so a guest with a paid plan can't add notes to a meeting a free account set up. And a Workspace admin can switch any of these off, which is why the same plan can show different buttons at two companies.

How to turn on live captions in Google Meet

To show live captions in Google Meet on a computer, press c during the call, or hover over Captions and translation in the call controls and select Turn on captions. According to Google's captions page, captions are turned on only for you, so nobody else in the meeting sees them or knows you're reading along.

  1. Join the meeting at meet.google.com.
  2. At the bottom, hover over Captions and translation, then select Turn on captions. Pressing c (or Shift + c) does the same.
  3. If the captions look like gibberish, the language is wrong. Change it with the drop-down on the left of the caption tray.
  4. Scroll up in the caption tray to reread something you missed. Captions only cover the parts of the call you attended with them on.

To change how captions look, go to More options > Settings > Captions. There you can pick the font, font size, font color and background color, and Reset puts the defaults back. Google says the settings save automatically.

I turn captions on for any call with a name or a number I'll have to repeat later. When a vendor rattled off a renewal price on a call last spring, I caught it in the caption tray instead of asking them to say it again, and nobody knew I'd needed the help.

Captions disappear when the call ends. If you need the words afterward, that's a transcript or Gemini notes, covered below, or a recording: see how to record a Google Meet.

How to use translated captions in Google Meet

Translated captions show what someone says in one language as text in another, and they're on the same Captions and translation control. Google's translated captions page lists Business Standard, Business Plus, Enterprise Standard, Enterprise Plus and Google AI Pro for Education as the editions that have them.

  1. In the meeting, hover over Captions and translation and click Turn on captions.
  2. In the drop-down menu on the left of the caption tray, select Translated captions.
  3. Use the same drop-down to choose the language you want to read.

For more control, go to More options > Settings > Captions, select Translated captions under Language, and set Translate from and Translate to. If you're recording, choosing Record captions embeds them in the recording. Google says translated captions are rolling out gradually and some languages are in beta, so quality varies by language pair.

Spoken translation is a different feature

Gemini's speech translation reads the translation aloud instead of only writing it. Google's October 22, 2026 update says it now covers 63 languages on the web, Android and iOS, detects who's speaking which language on its own, and shows captions that match the translated audio.

  • Who gets it: Business Standard and Plus, Enterprise Standard and Plus, Frontline Plus, Google AI Pro and Ultra, Google AI Pro for Education, and two Workspace AI add-ons.
  • How long: up to 90 minutes per meeting on base Workspace plans and Google AI Pro, and up to 8 hours on Google AI Ultra and the add-ons.
  • How to start it: each person turns it on for themselves from the translation control in the meeting toolbar, and can list languages they already understand so those aren't translated.
  • Where it doesn't work: live streams, recordings, client-side encrypted meetings and dial-in callers.

Guests from other companies can use it when the organizer has an eligible plan, and in a one-to-one call it works for both people if either one has a plan that includes it.

How to get live notes in Google Meet with Take notes for me

Take notes for me is Google Meet's built-in AI note taker: Gemini listens to the call and writes the notes into a Google Doc, with a summary, decisions and next steps. To start it, click Take notes for me (top right, once you've joined), then Start taking notes. Per Google's help page, the organizer gets an email with the link shortly after the call ends.

  1. Join the meeting on your computer.
  2. Click Take notes for me at the top right.
  3. Optional: click Settings first to choose who gets the notes, how long they are and the meeting language.
  4. Click Start taking notes.
  5. To keep part of the conversation out of the notes, stop them and start again when you're ready.

To have notes start on their own, set it on the Calendar event: edit the event, select Video call options > Meeting records, and check Take notes with Gemini. Hosts also see Also turn it on for future instances of this meeting, which is selected by default, so a weekly meeting keeps its notes unless you clear it.

The settings worth checking before you start

  • Send notes to: all invited guests (including people outside your organization), invited guests inside your organization, or only hosts and co-hosts. "Invited guests" means everyone on the Calendar invite, not only the people who joined.
  • Notes length: Standard for a short version or Longer for more detail.
  • Screenshots: on by default for whoever starts the notes. Google only captures a slide that stays on screen for at least 10 seconds.
  • Meeting language: English, French, German, Italian, Japanese, Korean, Portuguese or Spanish, one per meeting.

The send setting is the one that bites. Before a call with an outside agency, I switched Send notes to to hosts and co-hosts only, because I wanted to read what Gemini wrote before anyone outside my team did. I tidy the notes and send my own recap instead.

Where Gemini notes go

The notes document is saved in the organizer's Google Drive, in a Google Meet folder with a subfolder for each meeting, and it's attached to the Calendar event. It opens on a Quick notes tab with key takeaways and action items, and a Full notes tab with the summary, decisions, action items and details. Google recommends the feature for meetings of 15 minutes to 8 hours, and a shorter call may not get a summary at all.

For meetings without a video call, Google added an in-person mode in August 2026: per the Workspace Updates post, you select Take notes on the Google Meet home screen on the web or mobile, and when you stop, Gemini writes a Doc with a summary, action items and a full transcript. It's on the same plans as the call version.

How to catch up on a Google Meet call you joined late

If you join a Google Meet call late, Summary so far in Take notes for me or Ask Gemini can tell you what you missed, but only when Gemini notes were already running before you arrived. Google's Ask Gemini page says it can't answer about discussion from before you joined otherwise.

To use Ask Gemini, click the Ask Gemini text box in the lower left corner of the call and type a question or pick a suggested one, such as what someone said or which decisions were made. Your questions and Gemini's answers are private to you. It works from the meeting's captions plus Workspace files you can open, it isn't available in breakout rooms, and Google says it isn't meant to produce a transcript.

When I came into a planning call ten minutes late, I asked Ask Gemini what had been decided about the launch date before I said a word. Better than making the room repeat itself, and I could still check the answer against the notes afterward, since Gemini can get things wrong.

How to start a Google Meet transcript

A Google Meet transcript is a word-for-word Google Doc of what was said, saved after the call. To start one on a computer, click Meeting tools > Transcribe > Start transcription, then Start. Google's transcripts page lists Business Standard, Business Plus, the Enterprise editions, Teaching and Learning Upgrade, Education Plus and Workspace Individual as eligible.

  • Transcripts can be started from a computer or an Android device, in the same eight languages as Gemini notes.
  • They can't be paused. Stopping and restarting makes a separate file each time.
  • The file goes to the organizer's Google Drive in the Google Meet folder, and the host, co-hosts and whoever started it get an email with the link.
  • To transcribe every time, open Video call options > Meeting records on the Calendar event and select Transcribe the meeting.

Transcripts and Gemini notes do different jobs. Notes tell you what was decided; a transcript proves who said it. If you also run calls in Zoom or Microsoft Teams, the same steps for all three apps are in our live transcription guide.

Why Take notes for me or captions are missing

A missing Take notes for me, Transcribe or translation option almost always means the organizer's plan, your admin or your role in the meeting, not a broken app. Start with the organizer and go down the list:

  1. Check who organized the meeting. Gemini notes depend on the organizer's edition, so a meeting created from a free Gmail account won't offer them even if you pay.
  2. Check your plan. Business Starter and free accounts don't have Gemini in Meet, transcripts or translated captions.
  3. Check Host management. When it's on, only hosts and co-hosts can start notes or a transcript. Ask to be made a co-host.
  4. Check Smart features. Google says notes and Ask Gemini may not be selectable when smart features are turned off in your account.
  5. Ask your admin. Workspace admins can turn notes, Ask Gemini and transcripts off, or require everyone's consent before notes start.
  6. Check the language. If the call isn't in one of the eight supported languages, notes and transcripts won't follow it.

Captions in the wrong language look broken

If Google Meet captions show nonsense, the spoken language and the caption language don't match. Change it from the drop-down on the left of the caption tray before assuming the feature failed.

Live notes in Google Meet without a paid plan

If your plan doesn't include Gemini notes, a Chrome extension can show a live transcript in Google Meet from a free account. Two that show live text while the call is still running:

  • Tactiq is a Chrome extension that transcribes Google Meet live without a bot joining the call. Its pricing page lists 10 free transcripts a month, with Pro at $8 a user a month, billed annually.
  • Otter lists live notes and captioning for Google Meet among its features, and its free Basic plan includes 300 minutes a month with a 30-minute cap per conversation, per Otter's pricing page. Our Otter in Google Meet guide covers the setup.

Whatever you use, say so at the start of the call. A Google Meet transcript puts an icon on everyone's screen, but an extension running in your browser shows nothing to anyone else, and people deserve to know before the candid part.

Notes from every call on your Mac

Merlin captures the audio of a call on your Mac, whichever app it's in, without a bot joining, so tell people when you're recording. On a paid plan, once you stop, Merlin turns the recording into a transcript that knows who said what, plus notes; the free plan keeps the recording only. Later you can ask what a client agreed to across a month of calls, and when you ask it to email the recap, the draft waits for your approval.

Yes. Live captions work on every Google account, including free personal accounts. Press c in a call or select Turn on captions under Captions and translation.

Can other people see my captions in Google Meet?

No. Google says captions are turned on only for you. Transcripts are different: when one starts, a Transcripts icon appears for everyone in the call.

Does Take notes for me work with a personal Gmail account?

Where do Google Meet notes and transcripts go?

Both are saved in the meeting organizer's Google Drive, in a Google Meet folder with a subfolder per meeting, and attached to the Calendar event. The organizer also gets an email with the link.

Can Google Meet translate captions for free?

No. Translated captions are listed for Business Standard, Business Plus, Enterprise Standard, Enterprise Plus and Google AI Pro for Education. Regular captions in the speaker's language are free.
