How to Use Google Calendar Appointment Scheduling in 2026

Want people to book time with you? Set up a Google Calendar appointment schedule, share the booking page, take payments and fix a page with no open times.

To use appointment scheduling in Google Calendar, open calendar.google.com in a computer's browser, click Create, then Appointment schedule. Set a title, the length of each appointment and your weekly availability, click Next, set up the booking page, then click Save. Share the booking page link, and people pick a free slot that lands on your calendar.

A booking page ends the email ping-pong of "Does Tuesday work? How about Thursday?" It also puts your time in front of strangers, so the settings matter more than the setup. Below are the steps, which features need a paid Google plan, how to share and embed the page, how to take payments, and why a page sometimes shows no open times at all.

Which Google accounts can use appointment schedules

Every personal Google account can create one booking page, and so can Google Workspace Business Starter. More schedules and the premium features come with Google One Premium, Google AI Pro and Ultra, and most Workspace plans, according to Google's comparison of premium features. That same page says Workspace Frontline, Workspace Essentials and older Workspace subscriptions that are no longer sold can't create appointment schedules at all.

How to create an appointment schedule in Google Calendar

You create an appointment schedule in Google Calendar in a browser on a computer. Google's setup guide says the Android, iPhone and iPad apps can't create one.

  1. Open Google Calendar on your computer.
  2. At the top left, click Create.
  3. Select Appointment schedule.
  4. In the Bookable appointment schedule panel, enter a Title. Anyone with the link sees it, so name the meeting, not your internal project.
  5. Under Appointment duration, pick a length, or choose Custom.
  6. Under General availability, set the days, times and time zone you're open for bookings.
  7. Adjust the scheduling window, booked appointment settings and calendars (explained below).
  8. Click Next to set up the booking page.

Set your availability and scheduling window

General availability is your weekly pattern. Next to each day you can mark it Unavailable all day, use Add another period to this day to split a day around lunch, or Copy time to all to repeat one day's hours across the week.

The Scheduling window controls how far ahead people can book and the minimum notice they must give. Adjusted availability changes your hours for specific dates, which is the setting to use for a holiday or a trip instead of deleting the schedule. Before a conference week, I add those dates to Adjusted availability as unavailable and leave everything else alone, so the link I've already sent keeps working.

Booked appointment settings: buffer, daily cap and guests

These three settings are where a booking page stops running your day for you:

  • Buffer time adds a gap between appointments on your calendar, so one call can run over without making you late for the next.
  • Maximum bookings per day caps how many appointments people can take in a day.
  • Guest permissions decides whether the person who books can invite others to the appointment.

I always set a buffer. Back-to-back calls with no gap mean I walk into the second one still writing notes from the first, and the person who booked can tell.

Choose which calendars to check

Under Calendars, choose the calendar the bookings go on and select Check calendars for availability. That stops the page offering a time you're already busy. Google's guide notes two catches: resource calendars, such as meeting rooms, can't be used, and if you add Co-hosts, their calendars aren't checked unless you include them. Co-hosts also have to be inside your organization's domain.

If your work and personal lives sit on different calendars and your plan can check several, check both. The first booking page I set up only checked my work calendar, and it happily offered a slot on top of a dentist appointment that lived on my personal one.

How to set up the booking page

The booking page is what people see when they open your link: your name, the description, open times and a short form. After you click Next, you set it up in the same panel (Google's setup guide):

  1. Click Select how and where to meet and choose Google Meet video conferencing, In-person meeting, Phone call or None / to be specified later.
  2. Write a Description. It shows on the booking page, in the confirmation email and in the calendar event.
  3. Check the Booking form. First name, last name and email are required. Click Add an item to ask another question.
  4. If you get spam bookings and your plan includes it, select Require email verification. People who aren't signed in to a Google account then get a code to confirm their address.
  5. Under Booking confirmations and reminders, click Add reminder to send email reminders before the appointment, on plans that include reminders. You can add up to 5, but you can't edit the reminder text.
  6. Click Save.

The description does more work than people expect, because it travels into the confirmation and the event. I write it for someone who has never met me: what the call is for, how long it is, and what to have ready.

A booking page description
A 30-minute intro call to see whether we're a fit.

Before the call: send a link to your website or the project brief, if you have one.
We'll cover: what you're trying to get done, your timing, and next steps.
Need to cancel? Use the link in your confirmation email so the slot opens up for someone else.

One extra form question is plenty. I add "What would you like to cover?" and read the answers the night before. Every extra field is one more reason for a busy person to close the tab.

Using Zoom or another video app

Google Calendar's booking page doesn't offer Zoom or Microsoft Teams in the location list. Google's instructions for a third-party conference service are to choose None / to be specified later and add the meeting link to each event after it's booked. When a client's company only allowed Zoom, that's what I did: the booking came in, I opened the event and pasted the Zoom link before the confirmation thread went cold. If most of your calls are on Zoom, that manual step adds up, and a separate booking tool may fit better; our guide to creating Google Calendar events from Calendly shows how Calendly bookings reach Google Calendar.

How to take payments for appointments

Google Calendar can charge for an appointment through Stripe, on an eligible Google Workspace plan. Google redirects people to Stripe to pay, says it charges no platform fee of its own, and leaves refunds to you in your Stripe dashboard (Google's payments guide). People can pay by credit card, Apple Pay or Google Pay.

First connect Stripe:

  1. From your computer, open the Settings menu (the gear icon) in Google Calendar and choose Settings.
  2. On the left, click General, then Appointment schedules.
  3. Click Connect Stripe and follow Stripe's steps.

Then set the price on a schedule:

  1. Create or edit an appointment schedule.
  2. Expand Payments & cancellation policy.
  3. Check Require payment when booking, then enter the amount and currency.
  4. Add a cancellation policy if you have one. It appears on the booking form and in the reminder emails.
  5. Click Save.

Refunds aren't automatic when an appointment is canceled, so write the cancellation policy before you take the first payment. A clear line such as "Full refund if you cancel 24 hours ahead" saves an awkward email later.

How to share your booking page

Share a Google Calendar booking page by copying its link: under Booking pages on the left of Google Calendar, hover over the page and click Copy link (Google's sharing guide). The page is always public. Anyone with the link can see the open times, your profile photo and your account name, but not the events on your calendar.

Embed it on your website

1. Under Booking pages, hover over the page and click Options, then Sharing options.
  2. Click Website embed.
  3. Choose All booking pages or A single booking page.
  4. Pick Button with popup (set the button text and color) or Inline booking page (the full schedule on your page).
  5. Click Copy code, then Done, and paste the code into your site's HTML.

Before you embed it, check that your profile photo and account name are ones you'd put on your website, since both show on the page.

Send it from Gmail

With a personal Gmail account or Workspace Business Starter, you can drop a booking page straight into an email. Start or reply to a message, click Set up a time to meet at the bottom (or More options first), and choose a booking page (Google's Gmail guide). Other Workspace plans and Google AI plans get Gemini's Help me schedule in that spot instead.

The same menu has Propose times you're free, which offers a few slots in the email for a one-off meeting instead of your whole schedule. Google notes it's built for one-to-one meetings and only uses your primary calendar (propose times guide). When an email thread starts trading times back and forth, that's my cue to reply with the booking page and stop negotiating.

How to edit, pause or delete an appointment schedule

To edit an appointment schedule, hover over it under Booking pages, click Options, then Edit, and make your changes (Google's editing guide). That's the right move for new hours, a longer duration or a new description.

Deleting is different. Click the schedule on your calendar, then Delete appointment schedule in the window's top-right corner. Google says appointments already booked stay on your calendar and the booker's, but every booking page link you shared stops working (Google's cancel and delete guide). For a short break, use Adjusted availability for those dates instead.

To cancel one booked appointment, open it in Google Calendar, click Cancel appointment, then Cancel your appointment on the page that opens. The person who booked gets a cancellation email, and the slot shows as open again on your booking page.

Why your booking page shows no open times

A Google Calendar booking page usually looks empty for one of a handful of reasons. Work down this list:

  • It's within the minimum notice. By default, people need to book at least 4 hours ahead, so right after setup, today can show nothing (setup guide). The first time I opened my own link to test it, I thought I'd broken it. I hadn't.
  • Your calendar is already full. With Check calendars for availability on, any busy event in those hours hides the slot.
  • The daily cap is reached. Once Maximum bookings per day is hit, the rest of that day disappears.
  • The scheduling window is too short. If people can only book a few days ahead, next week won't show yet.
  • Adjusted availability is still set. A date you blocked for a trip stays blocked until you remove it.

Open your booking page in a private browser window, as the person on the other end would see it, and check:

  • The title says what the meeting is, in words a stranger would understand.
  • Only the hours you actually want to give away are open.
  • There's a buffer between appointments and a daily cap you can live with.
  • Every calendar that holds real commitments is checked for conflicts.
  • The location is right, and if it's Zoom, you have a habit for adding the link.
  • The description says what to bring, and the form asks one useful question.
  • Reminders are on, if your plan includes them.

Once bookings start landing, the rest of your calendar setup matters too. Our Google Calendar guide covers time zones, working hours and separate calendars, and our post on automating Google Calendar shows how to send new bookings to the other apps you use.

Frequently asked questions

Is Google Calendar appointment scheduling free?

Yes. Any personal Google account can create one booking page for free. More booking pages and automatic email reminders need Google One Premium, a Google AI plan or an eligible Google Workspace plan, and paid bookings need an eligible Workspace plan.

Can I create an appointment schedule on my phone?

No. Google says the Android and iPhone versions of Google Calendar can't create an appointment schedule. Create it in a browser on a computer; the appointments people book still land on your calendar.

Do people need a Google account to book an appointment?

No. The booking form asks for a first name, last name and email. If you turn on Require email verification, people who aren't signed in to a Google account get a code to confirm their email.

Can I use Zoom with Google Calendar appointment schedules?

Not directly. Choose None / to be specified later as the location, then add the Zoom link to each event after it's booked.

What happens to booked appointments if I delete my appointment schedule?

They stay on your calendar and on the calendar of the person who booked. The booking page link you shared stops working, so edit the schedule instead if you only need to change your hours.

Why is my Google Calendar booking page empty?

Usually it's the default 4-hour minimum notice, a full calendar, the daily booking cap or a short scheduling window. Check those settings in the schedule before anything else.
