Create Google Calendar Events From Calendly in 2026: 2 Ways
Calendly bookings not landing in Google Calendar? Connect the two in a few clicks, or use Zapier for a separate calendar. Steps, costs and fixes.
To create Google Calendar events from Calendly, connect Google Calendar inside Calendly and pick a calendar under Calendar to add events to. Every new booking then lands there on its own, on every plan, including Free. Use Zapier only when you need something the built-in connection can't do, like sending one event type to its own calendar.
A booking that only exists in a Calendly email is a meeting you find out about when someone joins an empty call. The fix is one setting in Calendly. Below are both ways to get Calendly bookings onto Google Calendar, how to choose between them, how to make the events readable at a glance, and what to check when a booking doesn't show up.
Built-in connection or Zapier: which should you use?
Calendly's own Google Calendar connection is the right choice for almost everyone: it's free, it adds every booking automatically, and with calendar invitations the invitee gets updates when the time or location changes. Zapier is worth it only for a narrow set of jobs, and it needs a paid Calendly plan.
Calendly's built-in connection | Zapier automation | |
|---|---|---|
Calendly plan needed | Any plan, including Free | Standard or higher |
Where events go | One calendar for all event types | Any calendar you choose, per Zap |
Reschedules | Calendly updates the invitation | A new event is created; the old one stays unless you delete it |
Cancellations | Handled by Calendly | Need a second Zap to remove the event |
Custom title and description | Title, through the event type's calendar invitation | Any Calendly field you map |
Extra cost | None | Zapier Free covers a two-step Zap; filters need a paid Zapier plan |
Plan details come from Calendly's pricing page and Calendly's Zapier article. The one rule that matters most: don't run both for the same bookings. If Calendly already adds events to your main calendar and a Zap copies them to the same calendar, every meeting shows up twice.
How to connect Google Calendar to Calendly
Connecting Google Calendar to Calendly works on the Free plan, which allows one calendar connection; paid plans allow up to six per user (Calendly's calendar connection guide). If you signed up for Calendly with a Google address, the connection may already be there, so check before adding it again.
These steps follow Calendly's Google Calendar article:
- In Calendly, open Settings, then Scheduling, then Calendars. Some accounts show the same page under Availability, then Calendar settings.
- Click Connect next to Google Calendar. If another calendar is already connected, click + Connect calendar account and choose Google Calendar.
- Choose the Google account that holds your calendar and allow access. You're sent back to Calendly.
- Under Calendars to check for conflicts, tick every calendar where a busy event should block a booking.
- Under Calendar to add events to, choose the one calendar where new meetings should appear.
- Book a test meeting on your own booking page and check it appears in Google Calendar.
Step 4 and step 5 do different jobs, and mixing them up is an easy way to make a working setup look broken. The conflict list decides when people can book you. The add-to calendar decides where bookings land. Calendly says it doesn't add events to any calendar other than the one you pick in step 5.
The first time I set this up, I ticked my personal calendar for conflicts but left the add-to calendar on an old project calendar I'd stopped looking at. Bookings were going through fine. I just couldn't see them on the calendar I actually used, and I found out when a client asked whether I was still joining.
The settings worth turning on
Below the two calendar lists, Calendly's Google settings include two options worth a look (Calendly's Google Calendar article):
- Include buffers on this calendar. If your event types have buffer time, Calendly adds it as separate events in Google Calendar, so a colleague looking at your calendar sees the gap is taken. Deleting a buffer event in Google also removes it from Calendly.
- Automatically sync cancellations and reschedules. With this on, declining or deleting a Calendly meeting in Google Calendar cancels it in Calendly, and changing the time in Google reschedules it there. Changes the invitee makes in their own calendar don't count.
I keep the second one on. When something comes up, I move the meeting where I already am, in Google Calendar, and Calendly follows. The one catch is that you're now changing a meeting someone else booked, so add a line in the event explaining why before you drag it.
Make Calendly events readable in Google Calendar
The title Calendly puts on your Google Calendar event comes from the event type's notification settings, not the event type's name. For event types that send a calendar invitation, Calendly lets you customize that title for both your event and the invitee's (Calendly's scheduling notifications article).
Calendar invitations are also what makes the built-in connection work well. Your connected calendar creates the event and adds the invitee as a guest, so they get updates when the time or location changes. The alternative, an email confirmation, sends a static .ics file from Calendly, and its title can't be customized. To check which one an event type uses:
- Go to Scheduling, find the event type, click the three dots and choose Edit.
- Select More options, then Notifications and automations.
- If you see Email confirmation, click its three dots, choose Edit, then Switch to calendar invitation.
- Edit the title, then select Save and close.
Calendly notes you can't switch to calendar invitations for group events, with iCloud or the Outlook plug-in, or with no calendar connected. It also says links in calendar invitations need to be pasted as full URLs, because hyperlinked text isn't supported.
A title that only says "30 Minute Meeting" tells you nothing on a busy Thursday. I changed mine to put the event type first and the invitee's name second, using the name field Calendly offers in the title editor, so the week view reads like a list of who I'm meeting and why. Any variable names you see in the editor are the ones to use; they can differ from screenshots you find online.
Getting a Meet link you didn't ask for?
Calendly warns that Google Calendar may add a Google Meet link to new events by default (Calendly's Google Calendar article). If your Calendly event type already uses Zoom or a phone call, turn off Automatically add Google Meet video conferences to events I create under Settings, then Event settings in Google Calendar (Google's help page). On a work account your administrator may control it.
How to create Google Calendar events from Calendly with Zapier
A Zapier automation creates a Google Calendar event from each new Calendly booking, with the calendar, title and description you choose. It needs a Calendly Standard plan or higher (Calendly's Zapier article), which costs $10 per seat a month on annual billing (Calendly's pricing page).
The built-in connection sends every event type to one calendar, and Calendly says you can't assign different calendars to individual event types (Calendly's connection guide). That limit is the best reason to use Zapier. I send client discovery calls to a separate Client calls calendar that someone helping with my schedule can see, while everything else stays on my main calendar, out of their view.
Zapier lists the Calendly trigger Invitee Created or Rescheduled and the Google Calendar action Create Detailed Event on its Calendly and Google Calendar page. To set it up:
- Book a test meeting on your Calendly page first, so Zapier has a real booking to pull in.
- In Zapier, create a new Zap and choose Calendly as the trigger app, then Invitee Created or Rescheduled.
- Sign in to Calendly and allow Zapier access.
- Choose the scope. User covers meetings booked with you; organization and group scopes are only for Calendly admins and owners (Calendly's Zapier article).
- Click Test trigger. Zapier pulls in your most recent booking.
- Add the action: Google Calendar, then Create Detailed Event, and connect your Google account.
- Pick the calendar the events should go to.
- Map the fields: the event type name and invitee name to the summary, the invitee's answers and the meeting link to the description, and the event's start and end time to the event's start and end.
- Leave the attendees field empty if Calendly already invites the person. Adding their email here can send them a second invitation for the same meeting.
- Test the step, check the event in Google Calendar, then publish the Zap.
If you also keep Calendly's built-in connection, point the Zap at a different calendar from the one under Calendar to add events to. Otherwise the same booking lands twice. When I first added a Zap on top of the connection, my Tuesday filled with matching pairs of discovery calls before I spotted that both were writing to my main calendar.
What happens when a booking is rescheduled or canceled
A Zap only adds events, so a moved or canceled meeting leaves the old event behind unless you build for it. When an invitee reschedules, Calendly treats it as a cancellation of the original booking plus a new booking (Calendly's developer docs on reschedules). The Zap above creates an event for the new time, and the event for the old time stays on your calendar.
To clean up after yourself automatically, add a second Zap on the Invitee Canceled trigger that finds the matching event with Find Events and removes it with Delete Event. That Zap has three steps, and Zapier's Free plan only covers two-step Zaps (Zapier pricing), so it needs a paid Zapier plan. Without it, delete the old event by hand when the cancellation email arrives.
What the Zapier route costs
The simplest version, one trigger and one action, runs on Zapier's Free plan: two-step Zaps and 100 tasks per month. Zapier Professional is $19.99 per month when you pay yearly, or $29.99 if you pay monthly (Zapier pricing). Filters and paths, for example to copy only one event type, need a paid Zapier plan (Calendly's Zapier article).
Add Calendly Standard on top and the automation is never free. If all you want is bookings on your calendar, the built-in connection already does that for $0.
Why isn't my Calendly event showing in Google Calendar?
A Calendly booking that doesn't appear in Google Calendar usually went to a different calendar than the one you're looking at, or the connection needs refreshing. Work through these in order:
- The add-to calendar is wrong. Open Calendly's calendar settings and check which calendar sits under Calendar to add events to. Bookings only go there.
- That calendar is hidden in Google. In Google Calendar, make sure the calendar is ticked in the list on the left.
- The connection has lapsed. Calendly's connection guide says to confirm the connection is active and reconnect the calendar if meetings stop syncing or you see an error.
- The event type uses an email confirmation. The invitee gets an .ics file from Calendly instead of an invitation from your calendar. Switch it to a calendar invitation (steps above).
- The Zap is off or pointed elsewhere. In Zapier, check the Zap is published and which calendar the action writes to.
- You're blocked when you shouldn't be. That's the conflict list, not the add-to calendar. Calendly's Google article suggests opening the event type, choosing Preview, then Troubleshoot, and picking the time to see why it's unavailable.
After any fix, book a test meeting with yourself. It's the only check that proves the whole path works, from booking page to calendar.
A quick setup checklist
- Connect Google Calendar in Calendly and choose the calendar where bookings should land.
- Tick every calendar that should block bookings, including a shared family or team calendar if it holds real commitments.
- Switch each event type that allows it to a calendar invitation and give it a title you can read in week view.
- Turn off Google's automatic Meet links if your calls happen somewhere else.
- Book yourself a test meeting and check the title, time, link and calendar.
- Add Zapier only for a job the connection can't do, and never point it at the same calendar.
For the rest of your calendar setup, from separate calendars to Google's own booking pages, see our Google Calendar guide. If your Calendly bookings sit next to Outlook meetings, adding Outlook Calendar to Google Calendar puts both in one view.
Walk into booked calls prepared
Calendly fills your calendar with people you may never have met. Merlin, which works across your email and calendar, connects to Google Calendar and, about 10 minutes before each meeting, sends you a short brief so you know who you're about to talk to. Every morning at 8 a.m. it also hands you the day's events across your connected accounts.
Get MerlinFrequently asked questions
Does Calendly automatically add events to Google Calendar?
Yes, once Google Calendar is connected. Calendly adds each new booking to the calendar you choose under Calendar to add events to, on every plan, including Free.
Can Calendly add different event types to different Google calendars?
Not with the built-in connection. Calendly applies the connected calendars to all event types; to send one event type to its own calendar, use a Zapier automation, which needs Calendly Standard or higher.
Why are my Calendly meetings showing up twice in Google Calendar?
Usually because both Calendly's connection and a Zapier automation write to the same calendar. Point the Zap at a different calendar or turn it off.
Do I need a paid Calendly plan to sync with Google Calendar?
No. The Free plan includes one calendar connection, which is enough to add bookings to Google Calendar and check it for conflicts. Paid plans allow up to six calendar connections per user.
If I move a Calendly meeting in Google Calendar, does Calendly update?
It does if Automatically sync cancellations and reschedules is turned on in Calendly's Google Calendar settings. Changing the time in Google then reschedules the meeting in Calendly, and deleting it cancels it.
How do I change the title of Calendly events in Google Calendar?
Edit the event type, open More options, then Notifications and automations, and edit the calendar invitation title. This only works for event types that use calendar invitations, not email confirmations.
