How to Connect HubSpot and Google Contacts in 2026: 3 Ways
Sync HubSpot and Google Contacts with HubSpot's free app, import your contacts once from a CSV, or send new ones over with Zapier. Steps, limits and fixes.
To connect HubSpot and Google Contacts, install HubSpot's free Google Contacts app from the HubSpot Marketplace and set up a contact sync that runs one way or both ways. It works on every HubSpot plan, according to HubSpot's setup guide. For a one-time move, export a Google CSV and import it into HubSpot. For custom rules, use Zapier.
The two lists drift apart fast. The person you met at lunch goes into your phone, the lead from the website goes into HubSpot, and a month later you're searching both for one email address. This guide covers all three ways to join them, which one fits, what the sync quietly leaves out, and how to keep your personal contacts out of the CRM.
Method | Direction | Cost | Best for |
|---|---|---|---|
HubSpot's Google Contacts app | One way or both ways | Free on all HubSpot plans; custom field mappings need Data Hub, a paid HubSpot subscription | Keeping both lists in step from now on |
Google CSV export and HubSpot import | Google to HubSpot, once | Free | Moving an existing address book into a new CRM |
Zapier | Either way, by your rules | Free plan: 100 tasks a month, two-step Zaps | Only new contacts, or one-way rules the app can't do |
Which HubSpot and Google Contacts method should you use?
HubSpot's own Google Contacts app is the right default for most accounts. It's free, it's built by HubSpot, it handles updates in both directions, and HubSpot's data sync guide says it checks for changes every five minutes. Zapier earns its place when you want a narrow rule, like "only contacts I add from now on" or "only HubSpot contacts in one list", and a CSV import is for the day you first move in.
When I set this up for myself, the deciding question was simple: do I want HubSpot to see my whole Google address book? I didn't. My Google Contacts hold clients next to my dentist and my building's front desk. That pushed me to the native sync with a label filter, which comes up below.
How to sync HubSpot and Google Contacts with HubSpot's app
HubSpot's Google Contacts app syncs contacts between the two in the direction you choose. You need to be a Super Admin or have App Marketplace permissions in HubSpot, per HubSpot's integration guide. Only contacts sync; companies and deals don't.
Install the Google Contacts app in HubSpot
- In HubSpot, click the Marketplace icon in the top navigation bar and choose HubSpot Marketplace.
- Search for Google Contacts and select it.
- Click Install, then Connect to Google Contacts in the pop-up.
- Log in with the Google address book you want HubSpot to see.
- Review the permissions, click Allow, then Continue setup.
- On the sync settings page, click Set up your sync.
Set up the contact sync
- Choose the sync direction with the arrows, then click Next.
- Under Data conflict resolution, pick which app wins when the same field holds different values in each.
- Review the Mapped fields. There are 11 default mappings you can switch off but not edit.
- In Filters, click Edit to limit what syncs, for example to one Google Contacts label. Click Next.
- Check the summary and click Save and sync.
To come back later, go to Settings > Integrations > Connected Apps, click Google Contacts and open the CRM syncs tab, as HubSpot's guide describes.
Choose the sync direction
HubSpot offers three directions, listed in its integration guide:
- Data syncs between apps: two-way. A new contact on either side shows up on the other, and edits flow both ways.
- Data syncs only to HubSpot: Google Contacts feeds HubSpot. Nothing you do in HubSpot touches your phone's address book.
- Data syncs only to Google Contacts: HubSpot feeds Google, so CRM contacts appear in Gmail autocomplete and on your Android phone.
I started with one-way to HubSpot and only switched to two-way once the records looked right. One-way can't damage your address book, so it's the calm way to see what the sync does with your data. When I did go two-way, I made HubSpot the winner for conflicts, because a client who updates their own details on a form is more current than whatever I typed into my phone a year ago.
Limit the sync to one label
Filters keep the sync to the contacts that belong in a CRM. HubSpot can filter on Google Contacts labels, though it can't map a label to a HubSpot property, per HubSpot's guide. I keep a label called "Work" in Google Contacts and filter the sync to it. Anyone without that label stays private.
Filters decide where the sync starts
HubSpot's data sync guide notes that filters control which records sync at first; once a record has synced, it keeps syncing through its mapped fields, so narrowing the filter later won't stop contacts that already synced. Check your filter before you click Save and sync, not after.
What the HubSpot Google Contacts sync leaves out
The sync skips more than most people expect. According to HubSpot's integration guide, these don't come across:
- Other contacts. Google saves people you've emailed under Other contacts, separate from your main list (Google explains the difference). Only the main list syncs, so move a person there first.
- Contacts saved only on an Android phone. They have to live in your Google account.
- Labels, custom fields and the Owner property. Labels can filter the sync but don't map to HubSpot fields.
- Extra phone numbers and emails. The first phone number goes to HubSpot's phone field. Others sync only if they're labeled Mobile or Fax. For any field with several values, only the first syncs.
- Contacts with no email address, by default. HubSpot's data sync guide matches contacts by email and skips those without one unless you clear Only sync contacts with an email address.
That last default is worth thinking about. My phone is full of numbers with no email attached, like the plumber and the school office, and I left the box checked so they'd stay out. If you sell by phone, clear it.
How to import Google Contacts into HubSpot once
A one-time import copies your Google contacts into HubSpot as they are today, with no sync afterward. It suits a first move into HubSpot, or a cleanup where you'd rather fix the spreadsheet before anything reaches the CRM.
Export your contacts from Google
- In a desktop browser, open Google Contacts.
- Tick each contact you want to move. For the whole list, tick one, click Selection Actions and choose All.
- Choose More actions, then Export.
- Choose Google CSV and click Export. These steps follow Google's export guide.
Import the file into HubSpot
- In HubSpot, go to Data Management > Data Integration, and in Import a file, click Import data.
- Choose to import a file of Contacts and upload your CSV.
- In Choose how to import Contacts, pick Create and update contacts if some people are already in HubSpot.
- Map each column to a HubSpot property. Email is the unique identifier for contacts, so map it carefully.
- Name the import, check the Consent box and click Finish import.
HubSpot's import guide has the full set of options, including Prevent property overwrite to protect values already in HubSpot. Per HubSpot's file guide, the file can be .csv, .xlsx or .xls, a contact needs an Email column to be created, and blank cells won't clear existing values. Free accounts can upload up to 20MB.
Before I import, I open the CSV and delete the rows I don't want in a CRM. It takes a few minutes in a spreadsheet and saves an afternoon of deleting records in HubSpot later.
How to add new Google Contacts to HubSpot with Zapier
Zapier can send each new or updated Google contact to HubSpot without a native sync. The Google Contacts trigger is New or Updated Contact (or New Contact), and HubSpot has a Create or Update Contact action, both listed on Zapier's Google Contacts and HubSpot page. Together they make a two-step Zap, which fits Zapier's free plan.
- Start a new Zap, pick Google Contacts as the app and New or Updated Contact as the event.
- Link the Google account that has your address book, then run the test so Zapier fetches one recent contact.
- Add HubSpot with the action Create or Update Contact and connect your HubSpot account.
- Map the email address, first name, last name, phone and company from the Google contact.
- Test the step with a contact you don't mind changing, then publish.
The action does what its name says: it updates a matching HubSpot contact or makes a new one, so you don't need a separate search step. A search, a filter and an update in one Zap also works, but that's four steps, and Zapier's pricing page limits the free plan to two-step Zaps with no filters.
For the other direction, start the Zap with HubSpot's New Contact trigger and use Google Contacts' Find or Create Contact action. After a conference, that's how I'd want it: leads I add to HubSpot land in my phone too, ready for a text.
Watch the task count
On the free plan, Zapier allows 100 tasks a month and looks for changes on a 15-minute update time, per its pricing page. The Professional plan starts at $19.99 a month billed yearly for 750 tasks. A two-way sync of a busy address book can use up the free tasks fast, which is another reason to start with HubSpot's free app.
If Zapier's per-task billing doesn't suit you, the Zapier alternatives comparison shows how Make, n8n and others count the same workflow.
Why aren't my Google Contacts syncing to HubSpot?
Most missing contacts are skipped by design, not by an error. The likeliest causes come first:
- The contact is in Other contacts. Open it in Google Contacts and add it to your main list.
- It has no email address. Add one, or clear Only sync contacts with an email address in the sync settings.
- Your filter excludes it. Check its labels against the filter in the CRM syncs tab.
- The first sync is still running. HubSpot's data sync guide says large initial syncs can take a long time and that saving the sync settings restarts it. HubSpot emails you when it's done.
- Google's limit is full. Google Contacts holds 25,000 contacts, counting Other contacts and Trash, and each contact can be up to 128 KB. For a "storage quota exceeded" error, HubSpot's guide says to empty Trash and Other contacts, delete duplicates and trim oversized contacts.
- The field isn't mapped. A second email, a custom field or a label won't come across on the default mappings. Custom mappings need a Data Hub subscription.
To stop syncing, open Connected Apps > Google Contacts > CRM syncs, hover over the sync, click More and choose Turn off sync, per HubSpot's data sync guide.
Before you turn on a two-way sync
Two-way sync writes into your address book, so give yourself a way back first.
- Export a Google CSV of your contacts, as above. It's your snapshot of the list before HubSpot touched it.
- Know the undo window. Google Contacts can roll back every change from the past 30 days in one go from Settings > Undo changes, and deleted contacts stay in Trash for 30 days, per Google's help page.
- Pick the conflict winner on purpose. Whichever app you choose overwrites the other when they disagree.
- Start with a filter. Sync one label first, check a few records on both sides, then widen it.
- Clean duplicates first. HubSpot matches contacts by email, so two Google entries for one person with different emails become two HubSpot contacts.
Once the lists agree, the next step is usually your inbox. The guide to connecting HubSpot to Gmail covers logging and tracking emails, and the one on creating a group in Gmail shows how Google Contacts labels double as mailing lists.
Frequently asked questions
Does HubSpot sync with Google Contacts?
Yes. HubSpot's free Google Contacts app, installed from the HubSpot Marketplace, syncs contacts one way or both ways and is available on all HubSpot plans. Custom field mappings need a Data Hub subscription.
Is the HubSpot Google Contacts integration free?
Yes. The app and its default mappings work on free HubSpot accounts. Only custom field mappings require a paid Data Hub subscription.
Why are some of my Google contacts missing in HubSpot?
The sync skips Other contacts, contacts saved only on an Android phone and, by default, contacts without an email address. Contacts outside your sync filter are skipped too.
Will deleting a contact in HubSpot delete it from Google Contacts?
With two-way sync, changes on one side can reach the other, so test with a filtered label first. If a contact goes missing, Google keeps deleted contacts in Trash for 30 days and lets you undo changes from the past 30 days.
How often does HubSpot sync with Google Contacts?
HubSpot checks for changes every five minutes, and after the first sync, records usually update within 10 minutes of a change.
Can I sync Google Contacts labels to HubSpot?
Not as data. HubSpot can use a Google Contacts label as a sync filter, but it can't map labels to a HubSpot property.
