What Is Gemini for Google Workspace? Plans and Uses in 2026

Gemini for Google Workspace is now built into Business and Enterprise plans. Here's what each plan includes, how to use it at work and what admins control.

Gemini for Google Workspace is Google's AI assistant built into the work apps your company already pays for: Gmail, Docs, Sheets, Slides, Drive, Meet, Chat and Vids, plus the Gemini app and Gemini Notebook. Since January 2025 it has been included in Workspace Business and Enterprise plans rather than sold as a separate add-on.

If you've noticed an Ask Gemini button appear in Gmail one morning and wondered whether your company is now paying extra, or whether your emails are training someone's model, those are the right questions. This guide covers what Gemini for Workspace is today, what each plan includes, how to use it in each app, what it does with your data and what your admin can switch on or off.

What is Gemini for Google Workspace?

Gemini for Google Workspace is the work version of Google's Gemini assistant: it runs inside your company's Google apps, works with the files and emails you already have access to, and follows your organization's data rules. It is not a separate product you install. If your company is on an eligible Workspace plan, it's already there unless an admin turned it off.

The name has history, which is why older articles still describe it as a $20-plus monthly add-on. On January 15, 2025, Google announced that "the best of Google AI" would be included in Business and Enterprise plans. Google's Workspace Updates post from the same day says the old Gemini Business, Gemini Enterprise, AI Meetings and Messaging, and AI Security add-ons are no longer sold, and that customers who had bought them stopped being charged after January 31, 2025.

So in 2026, "Gemini for Workspace" mostly means a set of features that come with your plan, not a line item you buy.

Which Google Workspace plans include Gemini?

Every Workspace Business plan includes some Gemini, but Business Starter gets much less than the others. According to Google's Workspace pricing page, Starter includes Gemini in Gmail and Vids and basic access to the Gemini app and Gemini Notebook. Standard and above add Gemini in Docs, Sheets, Slides, Drive, Meet and Chat, with expanded app and Notebook access.

Google also sells an AI Expanded Access add-on that the pricing page describes as higher access to advanced AI features, for teams that use Gemini heavily. Most teams won't need it to start.

How much does Gemini for Workspace cost?

Gemini has no separate price on Business and Enterprise plans; it's part of the per-user plan price. When Google bundled it in, its announcement gave the example of a Business Standard customer who had paid $32 per user per month with the old add-on now paying $14, which Google said was $2 more than Workspace alone had cost. Current prices vary by country, billing term and introductory offers, so check the pricing page for your region before you budget.

Which plans don't include it?

Google's rollout post listed the plans the January 2025 change didn't cover: Workspace for Education, Frontline, Essentials, Enterprise Essentials, Workspace Individual and personal Google accounts, with nonprofits getting features according to their plan. Schools get Gemini through Google AI Pro for Education instead, according to Google's admin overview.

If you work alone on a personal Gmail address, the equivalent is a consumer plan. Google's plan page lists Gemini in Gmail and Vids on Google AI Plus at $4.99 a month, and adds Docs on Google AI Pro at $19.99.

Check before you buy anything

Before anyone on the team buys a personal Google AI plan to get Gemini at work, ask your admin which Workspace plan you're on. On Business Standard or above, you likely already have Gemini in Docs, Sheets and Meet.

What can Gemini do in each Workspace app?

Gemini in Workspace drafts, summarizes and answers questions inside each app, using the emails and files you already have permission to see. Here's what that looks like app by app, with the button names Google uses.

Gemini in Gmail

In Gmail, Gemini sits behind an Ask Gemini button at the top right. Google's Gmail help page says it can summarize long threads into bullet points, draft or tighten emails, find details like flight times or tracking numbers, and propose meeting times from your Google Calendar.

  1. Open Gmail in a browser.
  2. At the top right, click Ask Gemini.
  3. Type your request in the box at the bottom and click Submit.

A few limits from the same page are worth knowing. Gemini only reads events on your primary calendar, it can apply labels you already have but can't create new ones, and it won't process a request that matches more than 10,000 threads. After you confirm an action, you get 60 seconds to undo it.

Say Heather runs a six-person sales team at a commercial cleaning company in Phoenix and comes back from a trade show to 300 unread emails. A useful first prompt is narrow:

Prompt in Gmail
Find emails from the last five days that mention a quote, a proposal or pricing, and list the sender, company and what they asked for. Skip newsletters.

That gets her a worklist. "Summarize my inbox" gets her a paragraph she can't act on.

Gemini in Google Docs

In Docs, Gemini writes first drafts and edits what you've written. Google's April 22, 2026 update describes Help me create, which builds a formatted first draft from your files, emails, chats and the web, and Help me write, which edits the whole doc or just the text you select. Its suggested edits stay visible only to you until you approve them, which matters in a shared doc.

To use it, open a new doc and type your prompt, or in an existing doc hover over the spark icon near the bottom and type an instruction in the bar. The same update added Match writing style, which keeps the tone consistent across a doc, and Match doc format, which mirrors the structure of a source document. The features launched in English first; a July 16, 2026 update added more languages.

Here's a before-and-after. Say Rosa is the office manager at a 25-person architecture firm in Denver, and she's turning a messy set of notes into a holiday schedule memo.

Weak prompt
Write a memo about the holidays.
Better prompt
Using the notes in this doc, write a one-page memo to all staff. The office closes December 24 through January 1 and reopens Monday, January 4. Client emergencies go to the on-call architect listed in the notes. Keep it under 250 words, warm but plain, with the dates in a short list at the top.

The better prompt gives Gemini the facts, the audience and a length. You'll still read it before it goes out, but you won't rewrite it.

Gemini in Google Sheets

In Sheets, Gemini builds tables, writes formulas, analyzes data and makes charts. Google's Sheets help page says to click Ask Gemini at the top right, then pick a suggested prompt or type your own. It can also apply conditional formatting, pivot tables, filters and sorting, and export an analysis to a new Google Doc with Export to Docs.

Two things from that page catch people out. Gemini works best on native Google Sheets files, so convert an Excel file with Save as Google Sheets first. And a chart it makes doesn't update when the source data changes, so rebuild it after you edit the numbers. I'd also check any formula Gemini writes against three or four rows you can verify by hand before trusting it on 3,000.

Gemini in Google Meet

In Meet, the feature most teams use is Take notes for me. Google's Meet help page says it writes organized notes into a Google Doc, gives late joiners a "Summary so far" and emails the organizer a link afterward. The doc is saved in the organizer's Drive in a "Google Meet" folder and attached to the calendar event.

  1. Join the meeting in Google Meet.
  2. At the top right, click Take notes for me.
  3. Optionally open settings to choose who gets the notes, how long they are and the language.
  4. Click Start taking notes.

You can also switch it on ahead of time in the Google Calendar event, under the video call options, by checking Take notes with Gemini. Google recommends it for meetings from 15 minutes up to 8 hours, and it supports one language per meeting from a list that includes English, Spanish, French, German, Italian, Portuguese, Japanese and Korean. The meeting organizer needs an eligible plan for it to work.

Drive, Slides, Chat and Vids

Google's admin overview lists a Gemini side panel in Gmail, Docs, Slides, Sheets, Drive and Chat, so the same kind of request works across them: ask about a file in Drive, draft a slide in Slides, catch up on a busy space in Chat. Vids is Google's app for creating videos together, and the pricing page includes Gemini in it on every Business plan.

The Gemini app and Gemini Notebook

Beyond the side panels, Workspace accounts get the standalone Gemini app at gemini.google.com and Gemini Notebook, Google's notebook for working from a set of sources, with Audio Overviews and shared notebooks. Google's admin overview says that on work accounts, what you type into the Gemini app isn't used to train models and isn't reviewed by humans, and Notebook sources and queries stay within your organization.

Is Gemini for Workspace private?

Gemini for Workspace follows your organization's data rules, not the consumer ones. Google's Workspace privacy hub says Workspace "does not use customer data for training models" without the customer's prior permission, and that Gemini won't retrieve an email or document the user doesn't already have access to.

The other details on that page:

  • No human review of Gemini app chats, uploaded files or Notebook queries on work accounts.
  • Retention is set by your admin: Gemini prompts and responses in Workspace apps are kept from 90 days to indefinitely, and Gemini app chats for up to 36 months. Notebook prompts and responses aren't kept after the session.
  • Certifications include SOC 1, 2 and 3, several ISO standards including ISO/IEC 42001 for AI management, and FedRAMP High authorization.

The permission rule cuts both ways. Gemini won't show Heather a doc she can't open, but it will happily summarize an overshared folder she was never meant to see. If your Drive sharing is loose, fix that before you encourage everyone to ask Gemini about "all our files."

My rule of thumb: a work account on an eligible plan is the right place for company material, and a personal Gemini account is not. If a teammate pastes a client contract into the free personal app, that's the consumer privacy terms, not your company's.

How admins turn Gemini on or off

Admins control Gemini in two places in the Google Admin console, both under Generative AI: one for the Gemini app and, on some editions, one for Gemini features inside each Workspace app. Both are on by default for licensed users.

Turn the Gemini app on or off

Google's admin help page says the Gemini app is available by default to licensed users over 18. To change that you need the Gemini Settings administrator privilege:

  1. In the Google Admin console, go to Menu, then Generative AI, then Gemini app.
  2. Click Service status.
  3. Choose On for everyone or Off for everyone, or select an organizational unit or group on the side to change it for some users only.
  4. Click Save. Google says changes can take up to 24 hours.

This setting only covers gemini.google.com and the Gemini mobile apps. It doesn't switch off Gemini inside Gmail or Docs.

Turn Gemini off in specific apps

To turn Gemini features and the side panel on or off per app, Google's feature access page says to go to Generative AI, then Gemini for Workspace, open Feature access, click Edit next to a service and choose On or Off. The services listed are Gmail, Calendar, Drive and the Docs editors, Meet, Chat and Google Workspace Studio. That page lists Enterprise, Education Plus and some AI add-ons as the supported editions, so on a Business plan you may not see Feature access at all. If it's missing, the Gemini app switch above still works, and Google's admin overview links to its other Gemini controls.

Off in one app isn't off everywhere

Google notes that turning Gemini off for one app doesn't stop people reaching that app's data from another. With Gemini off in Drive, someone can still ask Gemini in Gmail about a Drive file. Users also need smart features and personalization turned on to use Gemini in Workspace apps at all.

Say Wes is the one-person IT team at a 70-person nonprofit in Milwaukee. A sensible rollout is a pilot: leave Gemini on for one organizational unit, such as operations, for a month, ask them what they actually used, and fix Drive sharing before turning it on for everyone. That's a judgment call, not a Google requirement, but it beats discovering an overshared HR folder through a summary.

What Gemini for Workspace won't do for you

Gemini drafts and summarizes; it doesn't take responsibility. Google's Sheets help page warns that Gemini "may suggest inaccurate or inappropriate information" and shouldn't be relied on for medical, legal or financial advice. Treat its output as a first pass from a capable new hire:

  • Check numbers, names and dates before anything leaves the building.
  • Read meeting notes before they're shared. Google says summaries can be incomplete after connection problems or in very short meetings.
  • Expect features to vary by plan, language and rollout. A feature in this article may reach your account weeks after another company's.

How to get started with Gemini at work

If your company is on Business Standard or above, you can start today without buying anything. Here's the order I'd do it in:

  1. Look for Ask Gemini at the top right of Gmail. If it's missing, ask your admin whether Gemini is on for your account and which plan you're on.
  2. Try one real task in each of three apps this week: summarize a long Gmail thread, draft a doc with Help me create, and turn on Take notes for me in one recurring meeting.
  3. Write prompts with facts, audience and length, like Rosa's memo above.
  4. Read everything before it goes out, especially notes that get emailed to a whole meeting.

If your team is choosing between assistants rather than just using the one in Workspace, my Gemini vs. ChatGPT comparison covers prices and features side by side, and the AI note-taking tools guide compares Meet's notes with dedicated note takers.

Want help with the follow-through, not just the draft?

Gemini works inside each Google app. Merlin is a Mac app that works across your Gmail and Google Calendar to keep track of who's waiting on a reply, who has gone quiet and what you promised. When you ask it in chat to send an email or change an event, it shows you a card to review and approve first. It doesn't work inside Docs or Sheets.

Frequently asked questions

Is Gemini for Google Workspace free?

It has no separate charge on Workspace Business and Enterprise plans; it's included in the plan price since January 2025. Business Starter includes Gemini in Gmail and Vids, and Business Standard and above add Docs, Sheets, Slides, Drive, Meet and Chat.

Is Gemini for Workspace still an add-on?

No. Google stopped selling the Gemini Business and Gemini Enterprise add-ons in January 2025 and included the features in Business and Enterprise plans instead. A separate AI Expanded Access add-on exists for heavier use.

Does Google train Gemini on my company's data?

Google's Workspace privacy hub says it doesn't use customer data to train models without the customer's prior permission. Gemini also only retrieves emails and files the user already has access to.

Why don't I see Gemini in my Gmail?

Your plan may not include it, your admin may have turned it off, or smart features and personalization may be off for your account. Ask your Workspace admin which applies.

Can I use Gemini in Gmail with a personal account?

Yes, with a consumer plan. Google AI Plus at $4.99 a month includes Gemini in Gmail and Vids, and Google AI Pro at $19.99 adds Docs.

Does Gemini take meeting notes in Google Meet?

Yes. Take notes for me writes notes into a Google Doc saved in the organizer's Drive and emails a link after the meeting. The organizer needs an eligible Workspace edition or Google AI plan.
