Fyxer Alternatives in 2026: Matched to Why You're Leaving

The short answer

Fyxer fits a Gmail or cloud Outlook user who wants mail sorted and replies drafted inside the inbox they already use. If price is the issue, try the Gemini or Copilot AI your email plan may include. For sorting on any provider, SaneBox. For shared team inboxes, Missive. For help on a Mac with the replies you owe and your meetings, Merlin.

We make Merlin, one of the tools on this page. Every claim about other tools is checked against their own sites.

The Merlin team9 min read

Fyxer is an AI assistant that sorts your Gmail or Outlook inbox into categories, drafts replies in your tone and takes meeting notes. The right Fyxer alternative depends on what isn't working: the per-seat price, an email account Fyxer can't connect, categories you can't rename, a team that shares one address, or a notetaker you'd rather not invite into calls. Each of those has a different answer, and the sections below take them one at a time.

What Fyxer does well

Fyxer works inside the email app you already use instead of replacing it. Fyxer's inbox guide explains that it sorts incoming mail into categories such as To do, FYI, Notification, To follow up and Marketing. In Gmail those show as color-coded labels; in Outlook they're folders in the sidebar. You choose which categories stay in the inbox and which are filed away, and the same guide says Fyxer "never deletes, hides, or permanently removes emails."

The other half is writing. According to Fyxer's pricing page, paid plans draft replies in your tone, and the drafts wait in your inbox until you send them; Fyxer doesn't send email on your behalf. On top of that come a meeting notetaker, a daily briefing, a follow-up list, shared Spaces for a client or project, and Flows that run recurring tasks. Fyxer can also be reached from Slack and Microsoft Teams.

Fyxer states SOC 2 Type II and ISO/IEC 27001 certification and GDPR compliance, with HIPAA available on Enterprise (security page). If you run a busy Gmail or Microsoft 365 inbox, you want it triaged without learning a new email app, and draft-then-approve suits you, Fyxer does exactly that job.

Fyxer's plans and prices

Fyxer has four plans, and the paid ones are priced per person. These figures come from Fyxer's pricing page:

Fyxer plans as listed on its pricing page

Plan

Price per person

What it adds

Free

$0

Daily dashboard briefing, weekly email briefing, audio meeting notes, 400 credits a month. No inbox sorting or drafted replies.

Pro

$49 a month, or $37 a month billed yearly

Inbox sorting and labels, drafts in your tone, video meeting recording, Flows, 3,000 credits a month.

Team

$99 a month, or $64 a month billed yearly

Unlimited shared Spaces, follow-up owners, team reporting, 6,000 pooled credits a month for each paid member.

Enterprise

Custom

Single sign-on, SCIM, audit logs, data residency, HIPAA.

Two details matter if you're comparing costs. A seat is one paid member however many inboxes they connect, and the free trial is a 14-day run of the Team plan; Pro itself has no free trial. When the trial ends you drop to the Free plan, which keeps briefings and audio notes but stops sorting and drafting.

Common reasons to leave Fyxer

  • Cost. The two features most people sign up for, sorting and drafted replies, start at Pro: $49 a month per person, or $37 billed yearly. The free plan doesn't include either.
  • Your account isn't supported. Fyxer's getting started guide lists Gmail (Google Workspace and personal) and cloud-hosted Microsoft 365, and says on-premise Exchange and hybrid Outlook deployments are not supported. iCloud, Yahoo and other providers aren't on the list.
  • Fixed categories. Fyxer's inbox guide says you can't rename or remove its categories. You can choose where each one goes, but you can't design your own scheme.
  • The notetaker joins as a participant. Fyxer's Notetaker guide says it joins Zoom, Microsoft Teams and Google Meet calls as a participant. Some people and some clients prefer nothing extra in the call.
  • Training on your mail. Fyxer's security page says it trains its own private models on content with names, addresses and sensitive details removed. You can opt out in Settings (on Enterprise, opt-out is the default), but you have to do it.
  • A shared address. Team adds shared Spaces and follow-up owners, but if several people answer one support@ or sales@ inbox, a shared-inbox tool is built for that more directly.

The alternatives, one per reason

Gemini in Gmail or Copilot in Outlook, if the price is the problem

Before paying for a second AI subscription, check what your email plan already includes. Google's help page describes Gemini in Gmail summarizing long threads into bullet points, writing new emails or refining drafts, finding details such as flight times, suggesting meeting times from Google Calendar, and archiving or labeling mail in bulk after you confirm. Google Workspace's pricing page lists the Gemini assistant in Gmail on Business Starter, Standard and Plus and on Enterprise. On a personal Gmail account, it comes with an eligible Google AI plan.

On the Microsoft side, Microsoft's help page shows Copilot summarizing an email thread in Outlook for Microsoft 365 on Windows and Mac, new Outlook for Windows, and the Outlook apps for iPhone and Android. Whether you have it depends on your Microsoft 365 license, so ask your admin. Neither assistant sorts your inbox into Fyxer-style categories on its own, so you'll rebuild some of that with Gmail labels and filters (our Gmail labels guide covers it) or Outlook rules.

Best for: a Workspace or Microsoft 365 user who mostly used Fyxer for drafts and summaries.

SaneBox, if your mail isn't on Gmail or Outlook

SaneBox does the sorting half of Fyxer and works with far more providers. SaneBox's FAQ says it works with "any email client, service or device" and names Gmail, Exchange, Outlook and Yahoo Mail. It moves less important mail into a SaneLater folder and summarizes it in a digest, and you train it by moving a message to the folder where it belongs. It reads header data rather than message bodies, says it never stores your emails, and covers up to four accounts depending on the plan. POP accounts can't use its folders.

The trade-off is that SaneBox doesn't write anything: its FAQ says it "doesn't send or receive your email." There's a one-week free trial, and current plans are on SaneBox's pricing page.

Best for: someone on iCloud, Yahoo, on-premise Exchange or another provider Fyxer can't connect, who mainly wants a quieter inbox.

Missive, if a team answers the same address

Missive is a shared inbox and email client. Its pricing page lists Gmail and Google Workspace, Outlook and IMAP accounts, plus SMS, WhatsApp, Messenger and Instagram, with team inboxes, assignment, internal threads, collaborative drafting and auto-assignment. Every plan includes an AI assistant with instant drafts, summaries, translation and AI rules.

Prices per user per month on yearly billing are $14 for Starter (up to 5 users), $24 for Productive (up to 50) and $36 for Business (no cap). There's a 30-day free trial of Productive with no credit card. Unlike Fyxer, Missive asks you to work in its own app rather than your current one.

Best for: support, sales or operations teams where several people answer one address, and anyone with an IMAP account.

Merlin, if you want an assistant beyond the inbox

Merlin runs on macOS, connects to your Google mail, calendar and contacts, and takes requests in a chat window. We make it, so weigh this section with that in mind. Ask it to find a thread or answer one, and the reply appears as a card you can read, edit and approve; nothing goes out from that chat until you do. It can label, archive and move mail to Trash, but it can't delete mail permanently.

Where it differs from Fyxer is the work around email. The People panel lists the people waiting on your reply (2 to 30 days, real people only, not receipts or newsletters) and the ones you've stopped writing to. Inbox Watcher sends urgent mail and sign-in codes to your chat as they arrive, a Daily Digest covers important mail and the day's calendar, and a Meeting Brief with attendee background lands shortly before each event. Meetings are recorded from your Mac, so nothing joins the call as a participant.

The limits are just as concrete. Merlin is Mac-only and connects Google accounts only (up to two free, up to five when you pay), with no Outlook or Microsoft 365 support. It doesn't sort your inbox into categories, and it can't create Gmail filters. A routine (an instruction Merlin carries out on its own, here whenever new mail arrives) can label or archive instead, but routines don't stop to ask, so one you've allowed to email or post to Slack acts without waiting for your approval. Free includes 5,000 monthly credits; the Pro plan costs $29 monthly, or 20% less on annual billing. Each product counts credits its own way, so Merlin's and Fyxer's numbers don't compare directly. Meeting transcription needs a paid plan.

Best for: a Gmail user on a Mac whose real problem is keeping up with people and meetings, not the order of the inbox.

How to choose

You're on Google Workspace or Microsoft 365 and the bill is the issue. Check whether Gemini in Gmail or Copilot in Outlook is already in your plan, and pair it with labels or rules.

Your mail is on iCloud, Yahoo, IMAP or on-premise Exchange. SaneBox for sorting, or Missive if you also want AI drafts and a new email app.

Several people answer one address. Missive is built around shared inboxes and assignment.

You'd rather no notetaker joined your calls, and your mail is in Gmail. Merlin records meetings on your Mac itself and also lists the people still expecting an answer from you.

You're on Gmail or cloud Outlook and like the drafts. Fyxer may still be the right tool; the yearly Pro price ($37 a month) is the cheaper way to keep it.

Before you cancel Fyxer

Leaving Fyxer doesn't touch your mail, because the messages stay in Gmail or Outlook the whole time. Its pricing page says deleting your account returns your inbox to how it was before, though its security page notes that folders or labels Fyxer created may stay behind.

  1. Note which categories you sent out of the inbox, so you can rebuild the useful ones as filters, rules or SaneBox folders.
  2. Copy out any meeting summaries or transcripts you want to keep. Fyxer stores them under Dashboard → Notetaker → Recorded.
  3. Change your plan or billing in Fyxer's dashboard, or let a trial lapse to the Free plan.
  4. Delete the account if you're done, then remove any leftover Fyxer labels or folders by hand.
  5. If your company account stays on Fyxer, ask your admin about opting the organization out of model training instead.

The replies you owe, in one list

Merlin, a Mac app, connects to your Gmail and lists the senders whose direct messages have gone unanswered for days. Ask for an answer to any of them and it's written for you to check, change and approve before it goes. Two Google accounts work on the free plan.

Frequently asked questions

Is there a free alternative to Fyxer?

Fyxer has its own Free plan, but it doesn't sort mail or draft replies. Merlin's free plan, with 5,000 monthly credits, covers Gmail users on macOS, and Gmail's labels and filters cost nothing. Missive and SaneBox offer trials rather than free plans.

Does Fyxer work with iCloud or Yahoo Mail?

Fyxer's docs list Gmail and cloud-hosted Microsoft 365 only, and say on-premise Exchange and hybrid Outlook aren't supported. SaneBox names Yahoo Mail among the services it works with, and Missive connects IMAP accounts.

Can I customize Fyxer's email categories?

Only partly. Fyxer's help docs say you can't rename or remove its categories, but you can choose which ones stay in your inbox and correct emails it sorted wrongly.

Does Fyxer send emails for me?

No. Fyxer's pricing page says it drafts replies in your inbox and you decide what gets sent.

What happens to my inbox if I stop using Fyxer?

Your mail stays where it is. Fyxer says deleting your account returns the inbox to how it was, though labels or folders it created may need removing by hand.
