How to Sync Contacts From iPhone to Mac in 2026: 4 Ways

iPhone contacts missing on your Mac? Turn on iCloud Contacts on both, sync in Finder, AirDrop a card or export a vCard. Plus fixes for stalled sync.

The Merlin team9 min read

To sync contacts from your iPhone to your Mac, sign in to the same Apple Account on both and turn on Contacts in iCloud settings: on the iPhone in Settings > [your name] > iCloud, on the Mac in System Settings > [your name] > iCloud. Your contacts then stay matched on both devices automatically. No iCloud? Sync them over a cable in Finder instead.

The usual moment this comes up: you're writing an email on the Mac, you start typing a name, and nothing appears, even though the number is right there on your phone. This guide covers the four ways to get contacts across (iCloud, Finder, AirDrop and a vCard file), how to tell which account a missing contact actually lives in, and the checks to run once sync stalls.

Which way should you sync iPhone contacts to a Mac?

iCloud is the right answer for almost everyone, because it keeps both devices in step from then on. The other three are for specific situations: no iCloud, a single contact, or a one-time move.

How to sync iPhone contacts to Mac with iCloud

iCloud Contacts stores your contacts in iCloud and shows the same list on every device signed in to your Apple Account, according to Apple's iCloud Contacts guide. Turn it on in two places.

On your iPhone

  1. Open Settings and tap your name at the top.
  2. Tap iCloud.
  3. Tap See All (on some versions it says Show All), then turn on Contacts.

On your Mac

  1. Choose Apple menu > System Settings, then click your name at the top of the sidebar. If you see Sign in instead, use the Apple Account that's on your iPhone.
  2. Click iCloud.
  3. On macOS 15 or later, click See All next to Saved to iCloud, then turn on Contacts. On macOS 13.3 to 14, click Show All (or Show More Apps) under Apps Using iCloud, then turn on Contacts.
  4. Open the Contacts app. In the sidebar, find the iCloud section and click All Contacts to see what came across.

A big address book can take a while to arrive. To confirm what iCloud actually holds, sign in at icloud.com/contacts in Safari; if a contact is there but not on the Mac, the problem is the Mac, not the phone.

On a new laptop, my first stop is the list on icloud.com, before touching anything else. It tells me in one look which side is behind.

Contacts saved On My Mac don't sync

Contacts in the On My Mac section of the Contacts sidebar stay on that Mac. Apple's iCloud guide says to drag them to All iCloud if you want them on your iPhone too.

Why some iPhone contacts don't show up on the Mac

Contacts that are missing on the Mac usually aren't in iCloud at all. They sit in a Gmail, Outlook or Yahoo account on the iPhone, and that account isn't added on the Mac. Turning on iCloud does nothing for them.

To check, open Contacts on the iPhone and tap Lists in the upper-left corner. You'll see All iCloud plus an All [account] entry for each other account, such as All Gmail. Tap each one and look for the missing person. Apple's sync troubleshooting article also notes that changing your default account to iCloud won't move contacts already stored in a third-party account.

If the missing contacts are in Gmail, add that account to the Mac instead of moving them:

  1. Open Contacts on the Mac and choose Contacts > Add Account.
  2. Choose Google (or another provider), click Continue and sign in.
  3. Make sure Contacts is turned on for that account.

If the account is already on your Mac for Mail, choose Contacts > Accounts instead and turn on Contacts for it, per Apple's Contacts accounts guide. This was my own mistake for a long time: half my work contacts were in a Google account on the phone, and the Mac only had iCloud. Adding the Google account fixed it without moving a single card.

One more setting worth fixing while you're there. On the iPhone, go to Settings > Apps > Contacts > Default Account (on iOS 17 or earlier, Settings > Contacts) and pick iCloud. On the Mac, choose Contacts > Settings > General and set Default Account to iCloud. New contacts then land in the list both devices share.

How to sync contacts from iPhone to Mac without iCloud (Finder)

Finder can sync contacts between an iPhone and a Mac over a cable, with no iCloud involved. On macOS Mojave or earlier, the same options are in iTunes. Apple's Finder sync guide gives these steps:

  1. Connect the iPhone to the Mac with a USB or USB-C cable.
  2. Click the Finder icon in the Dock and select your iPhone in the Finder sidebar.
  3. Click Info in the row of tabs near the top.
  4. Select Sync contacts onto [your iPhone], then choose All groups or Selected groups.
  5. Click Apply.
  6. When it's done, click the Eject button next to the iPhone in the Finder sidebar before you unplug.

Finder sync works in both directions. Apple says the Mac works out which side has newer information and copies new or changed cards both ways, so a contact added on the phone appears in Contacts on the Mac after the next sync.

To skip the cable next time, select the iPhone in Finder, click General, select Show this iPhone when on Wi-Fi and click Apply, as Apple's Finder article describes. The phone then shows up in Finder whenever both are on the same Wi-Fi network.

Leave Replace Contacts unticked

Under Advanced on the Info tab, Replace Contacts overwrites the contacts on the iPhone with the ones on the Mac. That's the opposite direction from what you want here. Export a vCard from the iPhone first (below) if you're unsure.

Pick one system and stick to it. Apple's Finder guide doesn't explain how it behaves alongside iCloud Contacts, and two systems feeding one address book tend to leave you with doubled cards. If the Sync contacts option isn't there or won't apply, check whether Contacts is turned on in iCloud on the iPhone.

How to AirDrop a contact from iPhone to Mac

AirDrop is the quickest way to move one or two contacts. It copies the card once; later edits on the phone won't follow it.

  1. On the Mac, click Control Center in the menu bar and click AirDrop so it turns blue. Click the icon next to it and choose Contacts Only or Everyone.
  2. On the iPhone, open Contacts and tap the person.
  3. Tap Share Contact, then AirDrop, and choose your Mac.
  4. On the Mac, click Accept on the AirDrop notification and add the card to Contacts.

Apple's AirDrop guide for Mac notes that items sent between your own devices on one Apple Account are accepted automatically, so you may not see a prompt at all. I use this when a contractor's number is on my phone and I need it in an email on the Mac in the next minute.

How to export iPhone contacts as a vCard and import them on Mac

A vCard (.vcf) file holds one contact or a whole list, and the Mac's Contacts app reads it directly. It's the right route for a one-time move, or for a backup before you change sync settings.

Export from the iPhone

  1. Open Contacts and tap Lists in the upper-left corner.
  2. Touch and hold the list you want, such as All iCloud or All Gmail.
  3. Tap Export, choose the fields to include, then tap Done.
  4. Choose how to send or save the file, such as AirDrop to your Mac, Mail or Messages.

Those steps follow Apple's iPhone export guide. Before I switch anything off in sync settings, I export All iCloud to the Files app first. It costs nothing and it's the undo button Apple doesn't give you.

Import on the Mac

In Contacts on the Mac, choose File > Import and select the .vcf file. You can also double-click the file or drag it onto the Contacts icon in the Dock, per Apple's import guide. Contacts tells you when it finds duplicates, so you can review them before adding.

Afterward, check where the new cards landed. Anything under On My Mac stays on the Mac and won't reach your phone; drag those cards to All iCloud to share them.

iPhone contacts not syncing to Mac? What to check

When iCloud Contacts is on and the lists still differ, work through these checks from Apple's troubleshooting article in order:

  1. Same Apple Account. In System Settings on the Mac and Settings on the iPhone, the name and email at the top should match.
  2. Contacts turned on in iCloud settings on both devices.
  3. Date and time set correctly for where you are on both.
  4. Apple's System Status page shows iCloud Contacts as available.
  5. The right list is showing. On the iPhone, tap Lists and choose All iCloud; then swipe down on the list to refresh it. On the Mac, click All Contacts under iCloud in the sidebar.
  6. Restart the Contacts app on the iPhone, then restart both devices.
  7. Update to the latest iOS and macOS.

Very large address books can hit iCloud's ceiling. Apple's limits page caps iCloud Contacts at 50,000 cards, each up to 256 KB, with contact photos up to 224 KB.

Duplicate contacts after turning on iCloud

Duplicates often mean the same people were stored in two places that are now both syncing. On the Mac, choose Card > Look for Duplicates, then click Merge. To merge specific cards, select them and choose Card > Merge Selected Cards, as Apple's duplicates guide explains. If the menu offers Link Selected Cards instead, the cards are in different accounts; linking shows them as one without deleting either. Apple's iCloud duplicates article suggests exporting a copy of your contacts before you start merging.

Keep your contacts in one place from now on

  • Make iCloud the default account on both devices, so new contacts land where both can see them.
  • Add every account that holds contacts (Google, Outlook) to the Mac's Contacts app, not just the phone.
  • Export a vCard backup before changing sync settings or merging duplicates.
  • Use AirDrop for one-off cards, and don't count on it to keep anything updated.
  • If email is where you mostly use contacts, see how Mac Mail uses your contacts and fixes autocomplete, and setting up iCloud email on a Mac if you haven't yet.

People pages built from your Google contacts

If your work contacts live in Google, Merlin's People view on your Mac turns Gmail, Google Contacts and Google Calendar into a page per person: recent emails, meetings, your notes and who's still waiting on your reply. Ask it to answer someone and you get a draft to edit and approve first. It doesn't sync your address book; it helps you keep track of the people in it.

Frequently asked questions

Why aren't my iPhone contacts showing up on my Mac?

Usually the contacts are in a Gmail, Outlook or other account on the iPhone that isn't added to the Mac, or iCloud Contacts is off on one device. Tap Lists in Contacts on the iPhone to see which account holds them, then add that account on the Mac or turn on Contacts in iCloud settings.

How do I sync contacts from iPhone to Mac without iCloud?

Connect the iPhone to the Mac, select it in the Finder sidebar, click Info, select Sync contacts onto your iPhone, and click Apply. On macOS Mojave or earlier, use iTunes. You can also export a vCard from the iPhone and import it with File > Import on the Mac.

Do contacts sync automatically between iPhone and Mac?

Yes, when both devices use one Apple Account and Contacts is turned on in iCloud settings on each. Changes on one device then appear on the other without any action from you.

Can I AirDrop all my contacts to my Mac at once?

Yes. In Contacts on the iPhone, tap Lists, touch and hold a list such as All iCloud, tap Export, then choose AirDrop and your Mac. It's a one-time copy, so later changes won't sync.

How do I fix duplicate contacts on my Mac?

In Contacts, choose Card > Look for Duplicates and click Merge. Export a vCard backup first, since merging combines cards into one.

Where are iCloud contacts on a Mac?

They're in the Contacts app, in the iCloud section of the sidebar under All Contacts. You can also see them at icloud.com/contacts.
