AI for SDRs in 2026: Research, First Lines, Dials and the AI SDR Question

What AI does for sales development reps in 2026: list building, first lines, dialing, inbound and handoffs, plus the send rules and the AI SDR question.

The Merlin team10 min read

AI can score your account list, draft a research brief and first line, write sequence steps, dial several numbers at once and answer inbound leads in seconds. It can't judge which plausible account is worth your quota, place an AI-voiced sales call without written consent, or stand behind the meeting you hand your account executive (AE).

If you're a sales development rep (SDR) or business development rep carrying a meetings number, and maybe just sat through a demo of an "AI SDR" wondering what it means for your team, read on. Below: the job task by task, the send and call rules, the replacement question, and the quota problem nobody planned for.

Where an SDR's day goes

Most of an SDR's day is preparation and record-keeping around a small number of live conversations. The hours usually split across these jobs:

  • List building. Pulling accounts that fit the ideal customer profile, finding the right titles, and weeding out dead emails and wrong direct dials.
  • Account research. The job posting, the new VP, the earnings line, the tech stack: ten tabs to earn one sentence.
  • First lines and sequence steps. Step one is easy. Step four, on the same account, with something new to say, is not.
  • Dial blocks. Voicemails, phone trees, gatekeepers and numbers that haven't worked in years.
  • Inbound leads. A demo request lands during your dial block and waits.
  • Booking and handoff. Finding the right AE's calendar, writing the context note, confirming the meeting, chasing the no-show.
  • CRM logging. Dispositions, notes and next steps, so your manager can count all of the above against an activity target and a meetings-booked number.

AI for each SDR task, from list to handoff

AI tools for SDRs now cover every step from list to handoff, but they come as separate products, and your team may already own some of them. Each entry below comes from the vendor's own page, so treat the descriptions as what the vendor says the tool does.

AI by SDR task, with tools as their makers describe them

Task

AI's part

Tools that offer it

List scoring

Check large lists against your criteria and rank them

Research agents: Clay's Claygent scores and qualifies lists. Clay's free plan includes Claygent, 500 actions and 100 data credits a month, up to 200 rows per table.

Account research

Write findings from the web, calls and email into account fields

Outreach's Research Agent comes with the Amplify package. Admins set it up, and SDRs are listed as users of its output.

First lines and replies

Draft an email from thread history, the sequence step and CRM data

Gong's AI Composer writes a draft when you open the composer and needs an Engage license.

Sequences

Research contacts, write steps and send, with or without your review

HubSpot's prospecting agent lets you choose between reviewing each email and sending without review, and spends credits per lead. Apollo.io's pricing page lists sequencing on Basic and AI features on Professional, with no prices shown.

Dial blocks

Dial in parallel, get past phone trees, connect you only to a person

Orum says its Operator dialer does this, and that Scout flags dead-end numbers from dialing history.

Inbound leads

Talk to site visitors, qualify them against your criteria, book the meeting

Qualified's Piper works over chat, voice and video. No price on that page.

Handoff

Route and book the right AE while the prospect is on the line

Chili Piper Handoff books from the account page in your CRM or engagement platform.

The whole outbound motion

Prospect, run multi-channel outreach and book meetings

11x's Alice is sold as an outbound SDR, with a Growth plan listed from $3,750 a month billed annually.

Ask your RevOps lead what's already licensed before you try anything new. Several of these tools sit inside a platform your company pays for, and the switch may belong to an admin rather than to you.

How to use AI for first lines without embarrassing yourself

An AI first line stands or falls on the fact under it, and your name is on the email. A research agent can attach last year's funding round to this year's prospect, confuse two companies with similar names, or praise a post the person only reposted. A prospect spots that in one read.

The fix is a prompt that makes checking fast. Ask for sources, ask for dates, and give the model permission to come back empty:

Account brief prompt
Research [company] for a cold outreach to the [title].
Give me up to three facts from the last 90 days that relate to [problem we solve].
For each fact: one sentence, the date, and the link.
If you can't find a dated source, write "nothing found". Don't guess.
Then suggest one opening line that uses a fact only if it connects to [problem].
If none connects, say so, and I'll open with the problem instead.

Open the link for any fact you plan to use. And drop a true fact that doesn't connect to your pitch: congratulating someone on a podcast and then selling them dialer software reads as a mail merge with extra steps.

Cold calls: keep AI around the call, not on it

On cold calls, AI is most useful before you speak and after you hang up, while the voice on the line stays yours. Dialers cut the dead time, and Orum also describes a Coach product that flags objections, finds battlecards, scores calls and runs practice sessions. Any chat assistant can play a skeptical VP while you rehearse your opener.

AI-generated voices are a different matter legally, and 11x's own page lists its outbound calling feature as "Consented Outbound Calling". The rule behind that label is in the table below. Recording your own calls for notes is common too, but recording-consent laws differ by state and country, so follow your company's script.

The rules your sequences and dialer still have to follow

Automation doesn't change who is responsible: under CAN-SPAM, hiring another company to send your email doesn't move the legal duty off you. The table is a plain summary of what touches an SDR most, not legal advice, so take specifics to your legal or RevOps team.

Rules that touch an SDR's outreach

Rule

What it says

What it means for you

CAN-SPAM (FTC)

No exception for business-to-business email. Accurate headers and subject lines, clear disclosure that it's an ad, a postal address, and opt-outs honored within 10 business days. Up to $53,088 per violating email.

Check that your tool's template has the address and the opt-out, and that an opt-out actually stops the sequence.

Google sender rules

All senders: SPF or DKIM, and a spam rate under 0.3%, with 0.10% as Google's recommended target. At 5,000+ messages a day, add DMARC and one-click unsubscribe for marketing mail.

Complaints hit the domain your whole team sends from. Ask who watches Google Postmaster Tools, Google's dashboard for your domain's spam rate.

Yahoo sender rules

Spam rate under 0.3%. Bulk senders need SPF, DKIM, DMARC and one-click unsubscribe, and must honor unsubscribes within 2 days.

Build to the shorter deadline, not CAN-SPAM's 10 days.

TCPA and the FCC's AI voice ruling

The FCC ruled in February 2024 that a voice generated by AI is "artificial" under the TCPA, and telemarketers need prior express written consent before robocalling.

An AI voice cold-calling a purchased list is the setup this ruling is about. Don't run it without legal sign-off.

TCPA autodialer limits (FCC)

Autodialed calls to wireless numbers need prior express consent, written for telemarketing, and people can revoke it.

Ask legal whether your dialer counts before loading mobile numbers.

Telemarketing Sales Rule (FTC)

Most calls to businesses are exempt. Not exempt: nondurable office or cleaning supplies, and pitches to an employee for personal use.

Selling software to a business usually fits the exemption. Our cold calling guide covers the Do Not Call registry and UK rules.

GDPR

Direct marketing may count as a legitimate interest. You must tell people where their data came from by first contact, and an objection to direct marketing means you stop.

A named person at an EU company is personal data. Ask which national email rules apply before prospecting into a new country.

Will an AI SDR replace you?

AI SDRs threaten the high-volume, generic part of the job first, and many teams have already shrunk, though nobody has shown how much of that is AI. In Emergence Capital's April 2025 survey of more than 560 venture-backed B2B software companies, as reported by SaaStr, 36% had reduced SDR or BDR headcount over the past year, 19% had grown it and 44% held steady. That report doesn't separate layoffs from unfilled seats, and it offers AI as an explanation rather than a finding.

The official outlook is flat rather than falling off a cliff. The Bureau of Labor Statistics has no SDR line, but its nearest category, wholesale and manufacturing sales representatives, is projected at 0% change between 2025 and 2035, with AI and automation named as possible limits on growth.

Evidence on the tools themselves is mixed. A May 2025 Winning by Design brief says AI SDRs already beat humans at inbound qualification, on speed and availability, and recommends keeping a human in the loop early on. On outbound, TechCrunch reported in March 2025 that a former 11x employee described losing 70% to 80% of customers who came in; 11x said its retention was 79% and its worst churn came from early cohorts.

So inbound speed and spray-and-pray volume look most exposed. What holds up better is the live conversation with a skeptical buyer, the judgment about which account is worth a tenth touch, and running the agent itself. If your company pilots an AI SDR, volunteer to write the play and review the drafts. Someone has to, and that person learns the most.

Hitting an activity quota when drafts cost nothing

Activity counts lose meaning once software can produce thousands of touches, so the number that protects you is meetings held. Keep your own log of meetings booked, held and accepted by the AE. If your manager still pays on dials and emails, bring that log and ask which of the three the team should be judged on once a tool is doing the sending. A rep with a clean held rate has a better case than one with a big touch count and a rising spam rate on the shared domain.

What Merlin does once a prospect answers

Merlin helps with the part of the job in your own inbox and calendar, once a prospect has answered. It's a Mac assistant, and connecting Gmail and Google Calendar is part of setup, so a team on Outlook can't use it. It isn't a sales engagement platform: it has no dialer, makes no phone calls and doesn't replace your CRM, and your outbound sequences belong in your team's own tool. For the rest:

  • Replies that slipped. The Needs you list surfaces prospects whose message has sat unanswered in your primary inbox for 2 to 30 days, leaving out pitches and notifications. A prospect you already answered by phone can still appear, since the list only looks at mail.
  • Before the call you booked. Ten minutes or so before the event, Meeting Brief gives you who's attending, what you've already discussed, what was promised, and suggested agenda points.
  • The handoff note. Record a qualifying call on your Mac, with the consent your company requires, then use Ask about this to pull out what the AE needs. Recording is free and transcription starts on the $29-a-month plan. Our note taker comparison covers other options.
  • Follow-through. Ask in chat to hear from Merlin the moment a given prospect replies, or set a reminder to call back on the date they named.
  • Your prospecting data. You can connect Apollo.io to look up people and companies in chat, and other tools can connect as custom apps.

A prospect email drafted from chat doesn't leave until you approve it on the card shown in chat, and you can edit it there. Routines, which you schedule and Merlin runs unattended, skip that step, including when they write to connected apps, since nobody is there to approve them. Keep routines to summaries sent to yourself, not prospect email.

Keep booked meetings from going cold

Merlin flags the prospect replies you haven't answered and briefs you before the calls you fought to get. A free plan covers both, on a Mac with your Gmail connected.

Your first weeks of AI as an SDR

  1. Time one normal day. Note the minutes on research, drafting, dialing and logging, and pick the biggest block.
  2. Ask RevOps what's already paid for. Check for research agents, draft composers and dialer features before asking for a new tool.
  3. Test the brief prompt on 10 accounts you know well. Count the wrong or stale facts. That number tells you how closely to check.
  4. Keep AI drafts in review mode for two weeks. Compare replies and meetings against your own emails, using your own numbers, not the vendor's.
  5. Write one handoff template with your AE. Agree on the fields, such as why now, who else is involved and what was promised, so any draft has a shape to fill.

Frequently asked questions

Which AI tool should an SDR use?

No single tool covers the job well enough to name one. Start with the biggest time sink from your own day, then check what your company already licenses in its engagement platform and CRM.

Can I use ChatGPT for prospect research?

Yes for public company research, as long as you open the source for every fact you use. Check your company's AI policy before pasting in CRM exports or call recordings.

Is it legal to cold call with an AI voice?

In the US, the FCC treats AI-generated voices as artificial under the TCPA, and telemarketing calls with them need prior express written consent. Get your legal team's sign-off before any pilot.

Do I have to tell prospects an email was written by AI?

The FTC's CAN-SPAM guide sets no AI-specific disclosure rule, though headers and subject lines must be accurate. Your company's policy or another country's law may ask for more.

Are AI SDRs replacing human SDRs?

Some teams are shrinking, but the survey data doesn't show how much of that is AI. Inbound qualification and generic volume look most exposed, while live conversations and judgment about accounts hold up better.
