How to Get WhatsApp Alerts for Gmail Emails in 2026

Want a WhatsApp ping when a certain email lands in Gmail? Set up a keyword alert with Zapier, see what it costs, or use Gmail's own label alerts.

Gmail can't message WhatsApp by itself, so you need a connector. The usual one is Zapier: a Gmail trigger called New Email Matching Search watches for your keywords, and the WhatsApp Notifications app sends you a WhatsApp message with the sender and a link to the email. It needs a paid Zapier plan and only messages your own number.

The point of this setup is to stop checking email for the one message that matters, like a signed contract, a payment failure or a reply from a particular client, while everything else waits. This guide walks through the Zap step by step, shows how to write a Gmail search that doesn't fire on newsletters, covers what it costs, and explains the free alternative built into the Gmail app.

What you need before you start

You need a Gmail account, a WhatsApp account with a verified phone number, and a paid Zapier plan, because Zapier lists WhatsApp Notifications as a premium app.

Gmail to WhatsApp: what to expect

Question

Answer

Who can receive the alert?

Only you: the WhatsApp number you connect

Can you write your own message text?

No, you fill in fields of Zapier's prebuilt templates

How fast does it arrive?

Zapier checks Gmail every 2 minutes on Professional, 1 minute on Team

What does each alert cost?

One Zapier task

Cheapest plan that works

Professional, from $19.99 a month billed annually for 750 tasks

If that table already rules it out, skip to the section on Gmail's own label notifications further down. They're free, and they reach your phone through the Gmail app instead of WhatsApp.

Step 1: Write a Gmail search that only catches the emails you want

The whole setup depends on one Gmail search. Build it in Gmail first, because the results you see there are exactly what will trigger an alert. Google's search operators page lists the pieces you'll use most:

Gmail search operators for keyword alerts

Operator

What it does

Example

from:

Emails from a person or domain

from:@clientco.com

subject:

A word or phrase in the subject

subject:invoice

" "

An exact phrase

"payment failed"

OR

Either of two terms

subject:(urgent OR asap)

-

Leaves a term out

-from:newsletter@example.com

has:attachment

Only emails with files

subject:contract has:attachment

Type your search into Gmail's search box and look at the last month of results. If you see a newsletter or an automated receipt in there, add a minus term for it now. Each false alarm on your phone trains you to ignore the real ones.

When I was waiting on a signed contract, my search was the client's domain plus the word "signed" in the subject. Searching for "signed" alone also pulled in every e-signature reminder I'd ever received, which would have defeated the point.

Keep the search narrow

A sender and one subject word is usually enough. Searching the whole email body for a common word like "urgent" catches marketing email too.

Step 2: Set up the Gmail trigger in Zapier

Zapier's Gmail integration has a trigger called New Email Matching Search, listed on its Gmail integrations page, which fires when a new email matches the search you give it.

  1. In Zapier, create a new Zap.
  2. Choose Gmail as the trigger app and New Email Matching Search as the trigger event.
  3. Sign in to the Google account you want to watch and allow Zapier access.
  4. Paste the search you built in Step 1 into the search field.
  5. Click to test the trigger. If nothing recent matches, send yourself an email that does, then test again.

Zapier checks Gmail on a schedule rather than instantly. Its trigger guide lists a polling interval of 15 minutes on Free, 2 minutes on Professional, and 1 minute on Team and Enterprise. Since the WhatsApp app needs a paid plan anyway, expect the alert within a couple of minutes of the email arriving.

Step 3: Connect WhatsApp Notifications

WhatsApp Notifications links to your own WhatsApp number with a one-time PIN. Zapier's setup guide lists the steps:

  1. Add an action step and search for WhatsApp Notifications by Zapier. Set the event to Send Message.
  2. When asked to sign in, use the link in the Phone Number (WhatsApp) field's help text and click Continue to Chat.
  3. WhatsApp opens (the app or WhatsApp Web) with a message to Zapier already filled in. Send it.
  4. Back in the sign-in tab, enter your phone number with the country code and no spaces or dashes, then click Send PIN.
  5. Enter the code WhatsApp sends you, click Yes, Continue to WhatsApp Notifications by Zapier, then Continue.

Zapier says you can only send these messages to yourself, the number that signed in. You can't use the app to alert a colleague or a team group.

Step 4: Choose a template and map the email fields

WhatsApp Notifications doesn't let you type your own message. You pick one of Zapier's prebuilt templates and fill in its fields, according to Zapier's guide to sending messages. For an email alert, New Message fits best.

WhatsApp Notifications templates

Template

Fields you fill in

New Message

First Name, Last Name, Link to reply

New Lead

First Name, Last Name, Email, Phone, Lead Source, Link to lead

Payment Confirmation

Payment amount, First name, Last name

New Order

Order number

Shipping Confirmation

Tracking link

Calendar Reminder

Calendar event name, Date, Time

Zap Error

Error message, Link to Zap/Task History

  1. Choose the New Message template.
  2. Map the sender's name from the Gmail step into First Name.
  3. Put the email's subject in Last Name. It looks odd in the setup screen, but it means the alert tells you what the email is about, not just who sent it.
  4. In Link to reply, look through the Gmail step's fields for a link or URL to the message and map it in, so you can tap straight through to the email. Each link field takes one URL. If you can't find one, put https://mail.google.com there so the tap at least opens Gmail.
  5. Click Test step, check that the message arrives in WhatsApp, then publish the Zap.

The whole message, template text included, has to stay under 1,024 characters, so don't map the email body into a field. A subject line and a sender are what you need to decide whether to open it, and they're safer than the body on a lock screen.

Pause it when you don't need it

Turn the Zap off from its toggle in Zapier when you're away and don't want work pinging WhatsApp. I switch mine off for vacations and leave the email itself to my out-of-office reply.

What Gmail-to-WhatsApp alerts cost

Each alert uses one Zapier task, because Zapier counts successful actions and says triggers never use tasks. Emails that don't match your search never start a run, so they cost nothing.

On Zapier's pricing page, the Professional plan starts at $19.99 a month billed annually ($29.99 billed monthly) for 750 tasks. A keyword alert that fires a few times a day uses a small slice of that, so the plan price, not the task count, is the real cost. If you already pay for Zapier for other work, the alert adds almost nothing.

The free alternative: Gmail's own label notifications

If what you really want is a phone alert for certain emails, not a WhatsApp message specifically, the Gmail app can do it for free. The trick is a filter that puts the important emails under a label, and phone notifications for that label only.

Create the filter on a computer

Google's filter guide describes the steps for Gmail on a computer:

  1. In Gmail's search box, click Show search options.
  2. Enter the same criteria you'd use for the Zap, then click Search to check the matches.
  3. Click Create filter.
  4. Choose to apply a label, and create a new one such as "Alert".
  5. Click Create filter to save it.

Turn on notifications for that label on Android

In the Gmail app on Android, Google's Android notification guide says you open Settings, choose your account, tap Manage labels, tap the label and then Sync messages. Notifications can't be turned on for a label that isn't synced. Then choose the notification settings for that label.

To make the label the only thing that buzzes, turn off notifications for your inbox in the same place. I set my phone up exactly that way, so it stays quiet all day apart from the handful of senders that matter.

On iPhone and iPad

Google's iPhone notification guide doesn't describe per-label alerts for the Gmail app on iPhone. Its closest option is High priority only under Settings, Email notifications, which lets Gmail decide what's important rather than your filter. If you need a precise keyword alert on an iPhone, the Zapier route is the more reliable choice.

Gmail to WhatsApp alerts not arriving? Fixes to try

  • The search doesn't match. Paste it into Gmail's search box. If the email you expected isn't in the results, the Zap won't see it either.
  • The Zap is off. Check that it's published and switched on in your Zap list.
  • The PIN step wasn't finished. Reconnect WhatsApp Notifications and make sure you sent the pre-filled message from the same number you entered.
  • The message is too long. Remove long fields such as the email body; the limit is 1,024 characters.
  • You ran out of tasks. Zapier holds new runs when your plan's tasks are used up, unless you've turned on pay-per-task billing.
  • You expected it instantly. On the paid plans this setup needs, Zapier checks Gmail every 1 to 2 minutes, so a short delay is normal.

How to keep alerts useful

Alerts work when there are very few of them. Two or three a week and you'll act on every one; twenty a day and they become another inbox. A few habits help:

  • One alert per real need, such as one client, one payment system or one deal.
  • Sender and subject in the message, never the body, since it shows on your lock screen.
  • A review every month: if an alert hasn't mattered in weeks, switch it off.
  • Exclusions for anything automated that keeps matching, such as receipts and reminders.

Keyword alerts on your Mac

If you mostly need the alert while you're at your desk, Merlin, an AI assistant for your Gmail and calendar on the Mac, can watch your inbox for you: a routine can start when an email arrives from a certain sender or with a certain subject, read it and send you a one-line summary in chat, plus a desktop notification when you're not looking at Merlin. It doesn't send WhatsApp messages or alerts to your phone.

Frequently asked questions

Can Gmail send notifications to WhatsApp?

Not on its own. You need a connector such as Zapier, where a Gmail trigger watches for matching emails and the WhatsApp Notifications app messages your own WhatsApp number.

Is the Zapier WhatsApp integration free?

No. Zapier lists WhatsApp Notifications as a premium app, so it needs a paid plan. Professional starts at $19.99 a month billed annually.

Can I send Gmail alerts to someone else's WhatsApp?

Not with WhatsApp Notifications. Zapier says it can only message the number that connected the account.

Can I customize the WhatsApp message text?

No. You fill in the fields of a prebuilt template, such as New Message, and the full message must stay under 1,024 characters.

How do I get notified only for certain emails in Gmail?

Create a Gmail filter that adds a label to those emails, then turn on notifications for that label in the Gmail app on Android and turn off inbox notifications. On iPhone, the closest built-in option is High priority only.

How quickly do the WhatsApp alerts arrive?

Zapier checks Gmail every 2 minutes on Professional and every minute on Team and Enterprise, so alerts usually arrive within a few minutes of the email.
